Position Summary: The Administrative Assistant to the Vice President of Student Life and Athletics will be under the direct supervision of the VP. This hourly, full-time staff position requires a driven individual who is task oriented. The individual will assist the Vice President for Student Life and Athletics in the following areas:
Primary Responsibilities/Essential Job Functions:
Will schedule appointments for the VP
Manage calendars in Outlook
Recording, typing, and distributing minutes from meetings highlighting Action Items
Ordering of supplies for staff under VP including on Amazon Office Account
Credit card reconciliations for all employees under the VP
Payment of invoices for all employees under the VP
Copying, collating, and filing
Answering and returning departmental phone calls
Assisting with special events
Assist with Athletic and Student Life Summer Projects
Assist with scheduling of rooms and spaces around campus
Processing athletic scholarship paperwork and forms
Processing payment of officials
Book Reservations for Hotels and Airfare for National Tournament Play and VP travel
Assist with reports for NAIA and end of season nominations
Process incoming athletic monies (donations, checks, gate, concessions income, etc.)
Ordering and purchasing of food/supplies, prep for health inspections, sales and profit reporting and depositing, and training student workers as it relates to concessions.
Manage athletic pool vehicles
Work within the Jenzabar platforms to enter data and pull information as it relates to student life and athletics including being solely responsible for coding student athletes each semester.

Knowledge, Skills, and Abilities: Must be proficient in Microsoft Office Suite, familiar with athletics and student life, flexible, and a team player. Experience working with Jenzabar a plus
Work Environment/Physical Requirements of the Job: Lifting to at least 50 pounds, moving inventory and equipment, will generally work inside but will sometimes need to work outside as it relates to concessions or special events or projects.
Minimum Education & Experience Requirements: Bachelor’s Degree Required. Minimum of 2 years’ experience, Familiarity with athletics and student life.
