Position Information

Position provides administrative support to Associate Director of Athletics/Team Makers Executive Director and all sport programs. Provide frontline support for SHAC office suite.  Assist as requested in providing administrative support to the athletic senior management staff and department heads in addition to other office duties as needed.

Position provides administrative support to Associate Director of Athletics/Team Makers Executive Director and all sport programs. Provide frontline support for SHAC office suite.  Assist as requested in providing administrative support to the athletic senior management staff and department heads in addition to other office duties as needed.

Responsibilities include:

• Coordinate Team Makers Committee meetings (schedule meetings, reserve meeting space, record meeting minutes, etc.
• Coordinate Team Makers special events (President’s Social, luncheons/socials).
• Assist with Team Makers golf tournaments (8 annually).
• Assist in sending out Annual Fund stewardship materials.
• Assist with stewardship related projects.
• Maintain Team Makers databases and listserv emails.
• Collect and process information for annual Team Makers audit, Form 990, and 1099.
• Assist with Team Makers events as needed, including registration and on-site support.
• Verify, compute, enter and submit travel expense vouchers for coaches and staff.
• Prepare non-travel reimbursements for processing.
• Submit travel authorizations.
• Maintain inventory of letterhead, envelopes and note cards for sport programs.
• Assist with submission of courtesy vehicle mileage logs for coaches and staff.
• Assist with registration and record maintenance for summer camps as needed (including financial records and confirmations).
• Greet, direct and assist visitors to the SHAC.
• Be knowledgeable on upcoming events and programs.
• Respond to phone and walk-up inquires.
• Assist department personnel in use of copier equipment as needed.
• Work closely with other key department personnel.
• Other duties as assigned.

Advertised Salary:

Commensurate with qualifications and experience.

Minimum Qualifications:

• High School Diploma or GED
• One year of related work experience.
• Proficiency in MS Office
• Strong computer and internet research skills.
• Excellent time management skills and ability to multi-task and prioritize work.
• Attention to detail and problem solving skills.
• Excellent written and verbal communications skills.
• Excellent interpersonal skills.
• Strong organizational skills.
• Knowledge of operating standard office equipment.
• Sensitivity to confidential matters.

Preferred Qualifications:

• B.S. or B.A.
• Three years of related work experience
