Job Overview

Facilitates, administers and organizes the day to day operations of the men’s basketball office – specifically for the head coach.  Job responsibilities include, but are not limited to: word processing; creation of spreadsheets; maintenance and up-keep of the men’s basketball recruiting database, alumni database and Friends & Family database; creation and mail-out of the men’s basketball newsletter; scheduling of appointments; handling mail; and generating correspondence letters to recruits, including questionnaires and weekly game articles.  Requires knowledge of NCAA rules, particularly those pertaining to the recruitment of prospective student-athletes.  Creates and maintains a scrapbook of each season with newspaper clippings.  Responsible for ordering supplies for the office and handling the invoices, communication with University and external individuals, development and administration of projects.  Serves as the primary point of contact for internal and external constituencies, and coordinates the planning of meetings and events.  Position requires strong interpersonal skills, excellent communication skills, both written and oral, and the ability to prioritize and perform multiple tasks simultaneously with moderate supervision.

Position requires strong interpersonal skills, excellent communication skills, both written and oral, and the ability to prioritize and perform multiple tasks simultaneously with moderate supervision.  Requires knowledge of administrative and clerical procedures and systems.  Must be able to operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management and other applications.  Must set up and maintain paper and electronic filing systems for records, correspondence and other material.  Will answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.  Complete forms in accordance with University procedures.  Required knowledge of and commitment to principles and processes for providing quality customer service.  Must be able to develop constructive and cooperative working relationships with others and maintain such relationships over time.

Work Interactions

Administrative support to the men’s basketball office.  Reports directly to the Head Men’s Basketball Coach, but works closely with the three assistant coaches and the director of basketball operations.  The role of the Administrative assistant is to make sure the office is consistently organized and to facilitate communication between staff members.

Requirements and Qualifications

1-3 years of administrative experience and progressive experience in MS Office applications.
