The Administrative Assistant will provide overall administrative support to the Senior Associate Dean of Admissions and the Assistant Dean of Admissions, including but not limited to domestic and international travel planning, meeting planning, appointment scheduling, correspondence, special projects, development of reports and presentations, reconciling expenditures, budget, and applications from candidates that require special handling. The Administrative Assistant will also provide support to the Assistant Dean by tracking recruited athletes from point of recruitment to matriculation. This includes daily communication with the compliance staff, generating reports, and maintaining inventory of student / athlete application materials.
Bachelor’s Degree or equivalent combination of education and experience preferred.
Five (5+) plus years of administrative, higher education, student services or managerial experience preferred.
Microsoft Word, Excel, PowerPoint, PeopleSoft, Slate.
Strong interpersonal skills and ability to interact with broad range of people from Athletic Compliance staff to Admissions Processing team.
Ability to work with budget and payroll systems.
Event planning skills.
Attention to detail.
Ability to work as a team-member in a fast-paced professional environment.
Strong organizational skills.
Provide administrative support to the Senior Associate Dean of Admissions and the Assistant Dean of Admissions.
Independently prioritize and schedule meetings and events.
Provide professional support in a highly confidential area using discretion and independent judgment.
Assist with weekly and semi-monthly payroll approvals for admissions staff.
Evaluate and actively resolve problems on own where applicable and redirect or handle phone calls and inquiries at own initiative as appropriate; able to identify goals and priorities and resolve issues in initial stages.
Assist with SmartHires process for Admissions Office student employees.
Manage office supplies and assist with budget reconciliation.
Provide assistance, as needed, to all members of the Deans’ suite.
Prepare weekly reports for the Athletic Compliance Office with the application status of prospective student- athletes.
Daily tracking of student athletes’ application statuses and maintaining a spreadsheet.
Documenting pre-reads for student athletes and coordination with process to add information into application files.
Collection and maintenance of documents including international student financial documents, transcripts, recommendations, and transfer reports.
Serve as the first point of contact in the Deans Suite.
Greet visitors and proactively assist them, as needed.
Answer phone inquiries and follow-up, as needed.
Develop and stay up to date on admissions information and policies to assist students, parents and counselors.
Assist the Deans with travel planning. This includes scheduling high school visits on the appropriate platforms, setting up appointments on Slate, assistance with travel scheduling, facilitating follow-up communications to counselors and students.
Manage internal/external meetings including scheduling, travel, and logistics.
Complete all pre and post travel requirements to include expense reports and reconciling pro-cards.
