Reporting to the Associate Vice President for Athletic Development (
AVP
), the Administrative Specialist is a member of the Athletics Development staff, directly supporting the
AVP
as well as serving all staff members of the ’Cuse Athletic Fund. He/she provides comprehensive support to the
AVP
and facilitates a wide range of activities including managing complex meeting logistics, staff travel schedules, overseeing office operations and related budgets. Work in this role will be varied and impactful including interacting with internal and external stakeholders including university leadership, faculty, staff, coaches, student-athletes, alumni, and supporters. Responsibilities also include data maintenance and report creation related to philanthropic gifts and donor/volunteer support.
Associate’s Degree preferred and 2-3 years plus experience in a related, fast-paced administrative setting, or an equivalent combination of education and experience.
Exceptional judgment and organizational skills, and experience maintaining confidentiality.
Demonstrated track record of independently driving projects forward.
A valid Driver’s license is required. Requires event attendance that may include non-business hours, nights, weekends, and/or holiday periods.
Interest in Collegiate Athletics. General knowledge and awareness of
NCAA
rules, especially as they pertain to university boosters and booster clubs.
Ability to work under pressure, focus and prioritize when dealing with several issues at one time, and support and take direction from multiple individuals.
Proficiency with Microsoft Office software, including Word, Excel, PowerPoint and Outlook, with the ability to assist coworkers in the use of these programs. Familiarity with social media platforms and relational database maintenance.
Ability to coordinate and collaborate with colleagues within Athletics and Advancement and External Affairs.
Excellent interpersonal and communication skills. Strong writing and editing skills.
Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
Support/assist the Associate Vice President (
AVP
) with day-to-day tasks and management of the Athletics Development office as well as assist with the coordination of daily calendars, travel reservations and accommodations, meeting logistics preparation and follow up. Process purchase requisitions, monitor budgets, and maintain the reconciliation of individual staff member expenses.
Serve as administrative liaison to other Athletic Department and
AEA
units in support of advancement and outreach efforts. This includes coaches, ticketing, marketing and communications, prospect research, donor relations, regional development, principal gifts, alumni engagement, and more.
Provide support, including on-site assistance, for special-events and game day activities as required. Duties include, but are not limited to, event budget preparation, coordination of retrievals, registration builds, creation of briefing materials, logistics, on-site oversight of guest check-in, contract process oversight, vendor payments, and event set-up.
Assist the
AVP
with the management of internal administrative tasks related to report and presentation generation, updates to Citrus data base constituent information, enter interactions/contact reports, and other data reporting and dashboard needs. Prepare prospect research briefings as needed.
