As a senior member of the Athletic Administrative team, this individual provides leadership and oversight in all aspects of internal and external operations of athletics and recreation. This individual will promote a positive and transformational environment that fosters academic and athletic success that is consistent with the mission of the College, its Catholic identity, and the values of the Congregation of Holy Cross.
Essential Elements
Assist AVP with the administration and oversight of athletics, intramural and recreation programs.
Serve as the lead administrator for the organization of game day operations of regular and post season athletics events. Ensure all athletics schedules, contest contracts, and official assignments are documented in accordance with College, MAC, and NCAA policies.
Serve as the direct supervisor for certain sports or areas of the department based on skill set and experience.
Work collaboratively with campus partners in Student Affairs, Enrollment Management, and Institutional Advancement with a willingness to represent athletics on various committees and special projects.
Coordinate planning and organization of all team transportation including charters, vans, and campus shuttles.
Oversee the process of new personnel hiring for all athletic positions in conjunction with Human Resources and the department Administrative Assistant.
Coordinate with assistance of an administrative assistant, Ref Quest Pay and Perfect Records for reconciling of officials’ payments and contracts.
Provide oversight to ticket operations for the varsity programs, specifically football, men’s and women’s basketball and conference championships.
Assist with submission of travel advance forms and organization of break housing and meals arrangements.
Assist the Eligibility and Compliance Team with the education and certification of over six hundred student athletes in accordance with NCAA, MAC, and College regulations on an annual basis.
Assist AVP with monitoring all operating budget expenses and creating projected budgets.
Lead or assist with the organization of MAC tournaments hosted by the College.
Support student athletes and coaches by being present at games and competitions.
Assist with facilitating and organizing student-athlete leadership programs.
Provide leadership to the Student-Athlete Advisory Committee (SAAC).
Assist with the completion of NCAA reports such as the annual EADA (financial), Demographic and Sport Sponsorships and NCAA Graduation reports.
Coordinate and oversee the communication of student athlete class and contest conflicts as well as the game day notifications to visiting teams.
Required Skills, Training, and Experience
Previous experience working within intercollegiate athletics environment preferred.
Ability to make sound decisions and to direct others within the department.
Well-developed organizational and people skills.
Effective oral communication skills.
Strong computer skills including proficiency in Microsoft Office (Excel, Word, Power Point).
Basic understanding of NCAA Compliance and Regulations.
Excellent attention to detail.
Strong financial and accounting skills.
Physical Conditions
Fast paced, high-energy environment. Some travel, evenings and weekends are required throughout the year. Prolonged periods of sitting at a desk and working on a computer and telephone. Work environment includes both indoor and outdoor venues in variable weather conditions. The position may include occasionally lifting equipment and setting up events.
