The
Assistant Athletic Director – Athletic Event Management and Internal Operations
will oversee many aspects of the operations of the Department of Intercollegiate Athletics. The Assistant Athletic Director is responsible for overseeing all event management aspects, including planning, coordinating, implementing, and supervising of athletic events. Managing the coordination of the concession operations at the John Glas Fieldhouse, Chet Anderson Stadium, Baseball and Softball Fields. Serving as a sport supervisor for Softball and Baseball programs and supervising the Athletic Equipment staff.
Responsibilities of the Assistant Athletic Director – Athletic Event Management and Internal Operations include:
Athletic Event and Concession Management. (70%)
Leading the game-day operations and event management of
BSU
Athletics, selected high school events held at the Chet Anderson Stadium, John Glas Fieldhouse, Baseball and Softball Fields.
Developing a comprehensive training protocol for student employees focused on safety, customer service, and quality game day experience for all fans.
Recruiting, hiring, training, and evaluating student employees for facility operations, game management, and concessions to ensure adequate staffing at all events.
Preparing and monitoring student employment and associated payroll and event staff.
Leading weekly operations and game-day production meetings.
Hiring, training, and scheduling all bench officials for non-conference, conference, and
NCAA
Championship events hosted by the athletics department.
Communicating with University units outside of athletics to ensure adequate event support (public safety, parking, etc.).
Working with sports facilities and events staff to develop and apply policies for internal and external user groups.
Managing the set-up of all Division II on-site/online ticket sales in conjunction with Athletic Director, Athletics Administrative Assistant, and Athletic Media Relations. Including advanced set-up of online ticketing system as well as management of inventory, troubleshooting during the on-sale, training of game day ticket staff, and reconciliation of receipts upon completion.
Supervising and coordinating all concessions activities in athletic facilities. Managing inventory, ordering all products and supplies as needed to ensure concessions operations at events held in athletic facilities operate as efficiently as possible.
Working directly with vendors and outside constituents to negotiate partnerships and to ensure the efficient operation of all concession activities while maximizing revenue for the department.
Creating and maintaining procedures related to cash management, inventory control, financial reporting, and customer service.
Maintaining current all food inspection licenses and adhering to all applicable health guidelines and standards.
Working weekends and nights.
Athletic Equipment and Facilities. (30%)
Tracking the master schedule of sports facilities, including practice, competition, and rentals and serving as first point of contact for athletics coaches and employees.
Supervising, directing, and evaluating Athletic Equipment Managers.
Developing and overseeing work schedules, including daily/weekly/monthly schedules for facilities cleaning, maintenance checks, and equipment upkeep.
Leading/Directing weekly equipment manager staff meetings.
Identifying and coordinating scheduling of facility maintenance needs.
Ensuring all concession operations areas are maintained, cleaned, and that equipment is certified.
Communicating and coordinating arrangements for setup and breakdown of equipment necessary for events in conjunction with University partners.
Minimum qualifications for this position include:
Bachelor’s Degree.
Demonstrated working knowledge and understanding of an athletic department at a college or university.
Knowledge and understanding of
NSIC
,
NCAA
,
WCHA
,
CCHA
and/or other similar associations in order to work with compliance, equity and other related athletic issues.
Ability to acquire and follow proper State, Minn State, and University regulations as they apply to the operations of the department.
Demonstrated record of effective cash-handling responsibilities.
Demonstrated abilities to manage and supervise groups of individuals.
Strong written, verbal and interpersonal skills and knowledge of facility scheduling software.
Strong organizational skills and the ability to maintain multiple on-going projects at any given time.
Demonstrated ability to work successfully with a diverse population of students, families, and professionals.
Preferred qualifications include:
Master’s Degree.
Three (3) years of experience with game management, concession operations, and event planning.
Licensed in all aspects of Food Management.
A demonstrated commitment to the principles of diversity, equity, inclusion, and anti-racism.
