The Assistant Athletic Director, Facilities & External Operations will assist the Athletic Director with the oversight of the overall management of departmental operations including external facility rentals, scheduling and operations of athletic facilities, event management, and external partnerships. Reporting to the Director, Athletics, this position is part of the Athletic Department’s senior management team and provides administrative support and oversight to assist in managing the department. This role will assist with the oversight of athletic programs as assigned.
Education/Experience
Bachelor degree plus Collegiate level competition and/or coaching experience with a commitment to Division III philosophy and experience with NCAA or equivalent combination of education and experience.
Valid driver license with a good driving record; must be insurable.

Ability to effectively communicate both within and outside the College including, but not limited to, student athletes, parents, recruits, coaches, athletic training staff, athletic department staff, campus partners, and external groups.
Ability to provide effective leadership to student athletes to encourage both successful academic development and competitive performance.
Travel is a requirement of this position.
Ability to work a flexible schedule.
Evening and weekend hours are a requirement of this position.
Physical Requirements
Medium work: Exerting up to 40 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Position involves both inside sedentary and work on different athletic surfaces while working with coaches, staff, student-athletes, external groups and others. Evening and weekend hours in all types of weather with travel on and off campus is necessary. Lifting required (i.e. set up for scorer’s table, etc.) some manual labor is expected. Because of the location of athletic facilities on and off campus, organizing and some transportation between those areas is expected.
Essential Functions
Oversight of the external facility rental and external revenue generation program including scheduling, contract development and payment collection. Revenue goal to be determined annually by the Director, Athletics.
Manage assigned external partnerships, external groups, and affiliate facility partners to ensure athletic operations of all 29 varsity athletic teams.
Oversight of the master schedule for all athletic facilities. Coordinate with external and internal constituents for the use of all athletic facilities including varsity athletics, club and intramurals, campus partners and external rental groups.
Manage the internal and external camp and clinic program for the athletic department including scheduling, contract development, compliance, and payment collection.
Serve as (or designate others to serve) as on-site administrator for all home athletic contests and events. Serve as the game administrator for all football and men’s lacrosse games.
Responsible for assisting the Director, Ticketing and Equipment Management with management control of all tickets and of accounting functions. This includes ticket application design, creating sports/seasons using the ticketing software, assigning seats, management of all POS systems, and reporting.
Provide supervision and coordination of evening and weekend athletic related activities. Supervise and coordinate operation of all athletic facilities, including supervising, scheduling and evaluating student workers; coordinate and assist with event setup and management of athletics facilities, utilize the event management software, coordinate and assist with the development and implementation of marketing programs for athletic facilities. Be available to work nights, weekends, and holidays as needed.
Assist with preparing and management of athletics budget. Works collaboratively with the Director, Athletics to provide revenue generation opportunities to enhance the athletics operational budget. Assist with the financial planning and management of the athletics budget.
Serve as the primary athletic facilities liaison with plant operations and campus partners to ensure proper operations of all athletic facilities and events. Supports and assists with preventive maintenance to support athletic and non-athletic events. Conducts inspections of athletic facilities, reports irregularities to appropriate athletic maintenance staff and inputs required maintenance tickets.
Serve as a sports administrator for selected athletic programs, as assigned by the Director, Athletics.
Be available to travel with athletic programs as necessary to be assigned by the Director, Athletics.
Promote the philosophy and objectives of the intercollegiate athletics program, to include adhering to all departmental policies and procedures, as well as the rules and regulations of the University, the NCAA, and the MAC.
