Assistant Athletic Director for Academic Services and Retention
This four year grant funded position will be responsible for providing leadership in an all-inclusive student-centered support structure for all student-athletes from matriculation through graduation and life beyond. This position reports directly to the Athletic Director. ” Grant funding ends in December 2026. Position is not guaranteed to continue in 2027”
• Promotes the well-being and retention of student-athletes.
• Provides pre-assessment of student-athletes’ academic abilities and skills during their first semester of enrollment at TXWES.
• Provides specialized orientation programming for freshman/transfer student-athletes.
• Provides information to student-athletes and coaches regarding institutional polices, academic requirements and athletic eligibility

• Promotes the well-being and retention of student-athletes.
• Provides pre-assessment of student-athletes’ academic abilities and skills during their first semester of enrollment at TXWES.
• Provides specialized orientation programming for freshman/transfer student-athletes.
• Provides information to student-athletes and coaches regarding institutional polices, academic requirements and athletic eligibility
• Meets regularly with student-athletes as part of monitoring their academic progress.
• Acts as a liaison between the athletic and academic communities and ensures that student-athletes comply with academic rules established by the University, the NAIA, and the Sooner Athletic Conference.
• Actively collaborates in the area of Academic Affairs and Student Life to develop a comprehensive program that contributes to the total development of all student-athletes while increasing retention numbers, reducing attrition numbers, and improving graduation rates.
• Engages in collaborative programming with various constituents from across campus to address the needs of our student-athletes.
• Works with assigned academic advisors to ensure progress toward graduation for student-athletes.
• Monitors assignment of tutorial support.
• Assists coaches with study hall structure and procedures.
• Communicates student-athletes’ academic progress, grade checks and class attendance to coaches.
• Advises the TXWES Athletics Student-Athlete Advisory Committee (SAAC).
• Prepares and submits annual NAIA Return on Athletics Report
• Serves as a member on the Retention Fundraising and Implementation Committee.
• Bachelor’s degree/equivalent experience required; Master’s degree preferred.
• A minimum of 3 years of experience working with student-athletes, faculty, and administrators in higher education, with experience working in athletics compliance.
• Prior experience with Ellucian Colleague SIS and EAB Navigate systems is preferred.
• Knowledge of Microsoft Office, NAIA and other athletics compliance-related software systems.
• Knowledge of NAIA, Sooner Athletic Conference and TXWES rules and regulations.
• Ability to effectively communicate through oral, written and electronic forms.
• Skill in time management.
• Skill in sound decision-making.
• Ability to communicate with and relate to student-athletes, coaches, athletic department staff and representative of the institution’s athletic interests.
• Ability to uphold high ethical standards and core values, maintains integrity, has professional demeanor and understands professional boundaries.
• Ability to be discrete in handling confidential matters, while complying with FERPA regulations.
• Ability to adhere to University & departmental policies and procedures.
• Knowledge of rules, standards, regulations, and laws regarding student athlete administration.
• Ability to work effectively with a wide range of constituencies in a diverse community.
• Ability to work independently and efficiently to meet deadlines with minimum supervision.
• Knowledge of crisis intervention techniques with the ability to react calmly and effectively in emergency situations.
• Ability to maintain a professional appearance and office atmosphere.
• Experience in managing a workload including multiple projects and production schedules required.
• Demonstrated ability to work well under pressure and to consistently meet deadlines while maintaining a high attention for details.
• Ability to plan, prioritize tasks and meet deadlines while working on multiple tasks.
