Essential Responsibilities
Team Travel
● Coordinate and oversee team travel arrangements for athletic contests, tournaments, championships, and other approved department activities.
● Develop travel itineraries and communicate travel details to coaches, teams, transportation providers, and appropriate campus personnel.
● Coordinate transportation, lodging, meals, and other travel-related services.
● Work with coaches to establish travel plans that meet institutional policies, budget parameters, and competitive schedules.
● Maintain accurate records of travel arrangements, confirmations, invoices, and related documentation.
● Establish and maintain relationships with hotels, bus companies, rental agencies, and other travel vendors.
● Assist with emergency or last-minute travel changes and provide appropriate support to teams while traveling.
● Monitor travel expenses and work with the Director of Athletics and appropriate campus offices to ensure responsible use of departmental resources. ● Coordinate championship and postseason travel as assigned. ● Assist with travel-related risk management and ensure appropriate procedures are followed. ● Communicate changes to schedules, transportation, lodging, and other travel arrangements in a timely manner.
Ticketing & Game-Day Operations
● Oversee the athletics department's ticketing operations for designated home athletic events.
● Establish and maintain ticket prices, complimentary ticket procedures, season ticket programs, and applicable admission policies in coordination with the Director of Athletics.
● Manage ticket sales and distribution through the department's designated ticketing platform.
● Coordinate ticketing operations with campus partners, visiting teams, conference representatives, officials, vendors, and event staff.
● Recruit, train, schedule, and supervise game-day ticketing and admissions personnel.
● Develop game-day procedures for ticket sales, cash handling, digital ticketing, will-call, complimentary admissions, and event entry.
● Reconcile ticket revenue and provide appropriate financial documentation following events.
● Monitor ticket sales and attendance trends and make recommendations to increase attendance and fan engagement.
● Coordinate special ticketing arrangements for students, faculty, staff, alumni, donors, community members, and special guests. ● Assist with game-day hospitality and VIP experiences as assigned.
● Ensure ticketing and admission procedures provide a welcoming, professional experience for fans and guests.
● Assist with troubleshooting ticketing issues before and during athletic events.
Athletics Administration
● Assist the Director of Athletics with the daily administration and operation of the athletics department.
● Assist the Associate Athletic Director with the SAAC.
● Support department-wide policies, procedures, strategic initiatives, and operational projects.
● Assist with scheduling, facilities, personnel, purchasing, budgeting, compliance, and event management as assigned.
● Serve as an administrator on duty for designated home athletic contests.
● Assist coaches and athletics staff with operational needs and problem resolution.
● Participate in athletics department meetings and institutional committees as assigned.
● Assist with NCAA, conference, and institutional reporting and compliance responsibilities.
● Maintain accurate records and documentation related to assigned areas of responsibility.
● Assist with the development and implementation of departmental policies and procedures.
● Represent the athletics department professionally with students, families, alumni, fans, campus personnel, opposing institutions, conference representatives, and community partners.
Student-Athlete Experience
● Promote an inclusive, supportive, and positive environment for all student-athletes.
● Assist in identifying opportunities to improve the overall student-athlete experience.
● Collaborate with campus partners in Student Affairs, Academic Affairs, Health Services, Counseling, Admissions, Advancement, and other areas to support student-athlete success.
● Assist with student-athlete orientation, recognition, awards, and engagement programs.
● Help communicate important departmental information and resources to student-athletes.
● Support initiatives designed to develop leadership, citizenship, career readiness, and life skills among student-athletes.
Desired Education, Skills, and Experience:
Required
● Bachelor's degree from an accredited college or university.
● Experience in intercollegiate athletics, athletic administration, event management, student affairs, or a related field.
● Strong organizational and time-management skills.
● Excellent written and verbal communication skills.
● Demonstrated ability to work effectively with student-athletes, coaches, administrators, and external partners.
● Strong attention to detail and ability to manage multiple priorities simultaneously.
● Proficiency with standard office and technology applications.
● Ability to work evenings, weekends, and holidays as required by the athletics schedule.
Preferred
● Master's degree in athletic administration, sport management, higher education, business administration, or a related field.
● Previous experience advising or coordinating a Student-Athlete Advisory Council.
● Experience coordinating intercollegiate team travel.
● Experience with athletic ticketing and event-management software.
● Experience with NCAA or conference rules and regulations.
● Experience working in a small-college athletics environment. Knowledge, Skills & Abilities The successful candidate should possess:

Work Environment
The position is based in a dynamic intercollegiate athletics environment. Regular evening and weekend work is required based on athletic contests, team travel, SAAC activities, championships, and special events. The position may require occasional overnight travel.
