The purpose of the Assistant Athletic Director for Facilities & Project Manager position is to provide management and oversight of UND athletic-owned facilities and athletic project management. Specific duties for this position include, but are not limited to, management of all athletic facilities, facility rentals, non-UND event management, project management for UND Athletics specific projects, and ensuring all UND policies and procedures are followed. Maintaining a positive relationship with internal and external entities interested in the rental and use of these facilities is paramount.
This position will have supervision over the Aquatics Operations Coordinator and will report to the Deputy Athletics Director. Must have commitment to compliance with all NCAA rules and regulations. Must provide support and encouragement and ensure the safety and well-being of the student-athletes.
Duties & Responsibilities
Athletics Facilities Management
Work with Deputy Athletics Director on the process and procedure of securing facilities when in use from outside parties.
Work with Aquatics Operations Coordinator and Assistant AD for Operations on schedule of events and renters accessing facilities.
Schedule and assist in hiring, training, and supervising security personnel.
Oversee preparation of facilities for specific events as needed.
Assist in the preparation of other events at the request of supervisor.
Responsible for security personnel when issues arise (no shows, accidents, problems, etc.).
Maintain, manage, and grow rental revenue stream of athletics facilities from external sources by working with Assistant AD for Operations, Aquatic Operations Coordinator, and the Athletics teams’ schedules to maximize use of facilities.
Serve as first point of contact for external sources wanting to utilize Athletics facilities.
Work with UND Office of Safety to ensure all policies are followed in regards to renting Athletics facilities (waivers, forms, etc.).
Create and prepare short-term facility agreements in conjunction with the Aquatics Operations Coordinator.
Create and prepare invoices and follow cash handling policies for payments on facility rentals in conjunction with UND Athletics business office.
Project Management
Oversee project management assigned by UND Athletics administration.
Ensure projects follow University and State policies and procedures from procurement, facilities, and risk management.
Responsible for the oversight of the planning, execution, and completion of projects.
Ensure projects are delivered successfully and within suggested time frame.
Communicate in a timely fashion on all aspects of project planning.
Oversight of all resource, budget/cost management, risk management, and quality assurance of all assigned projects.
Develop and maintain positive working relationships with University and/or community representatives and other regular contacts.
Staff Management
Directly supervise the Aquatics Operations Coordinator position.
Supervise all assigned part-time, student, and intern positions associated with UND Athletics owned facilities.
Responsible for the overall management of the, recruitment, hiring, orientation, training, scheduling, terminating, motivating, and retaining of assigned staff.
Plan, organize and facilitate in-service training when applicable.
Ensure employees have current training certifications that might be relevant for each position.
Complete evaluations and, if needed, initiate corrective action for personnel.
Ensure that staff provide optimal customer service.
Administrative Duties
Track facility usage data, create reports, and recommend alternative solutions to UND Athletics Senior Staff.
Responsible for timely completion of all annual reporting for major & minor inventory in the Athletic Department.
Investigate, document, and report complaints regarding operations of athletic facilities following all applicable policies.
Process payroll in accordance with department and University policy and procedures.
Maintain knowledge of current risk management practices in athletic facilities and ensure UND safety policies and procedures are being followed.
Assist in the management of UND Athletics-owned equipment.
Competitive Meet Management Duties
Secure competitive meets for UND Athletics owned facilities, including preparing and submitting bids to host.
Proficient skills to utilize digital scoreboards and timing systems.
Understanding of NCAA, High School, and applicable sport organization rules.
Participate and oversee the setup/teardown for competitive events and other applicable event planning.
Serve as the primary liaison with the host program/entity for all meets held at the UND Athletics owned facilities.
Ensure facility meets all standards for associated competitive events being held in the facility.

Minimum Requirements
Bachelor’s Degree in Recreation, Kinesiology, or related field
Two (2) years of work experience with facility management
Experience in supervision of staff
Experience in customer service
Experience in marketing or program promotion
Valid Driver’s License
Successful completion of a Criminal History Background Check
