Assist in the coordination, planning, execution and follow-up of Deacon Club events and tailgates. Serves as an Athletics Staff liaison on game day. Assists in the execution of key donor stewardship initiatives.

Essential Functions:
Assist with the coordination and execution of all Development office’s signature events, including, but not limited to Campaign Groundbreakings/Dedications, Homecoming/Varsity Club, Hall of Fame, Stewardship Brunch, Spring Tour events, and other events held throughout the year. Responsibilities include, but not limited to scheduling date between multiple offices, creation of event in DAD and event registration page, site selection/reservation, caterer/menu selection, theme and décor, entertainment, communications plan (invitations, email reminders, and follow-up), coordination of event program and materials needed (video, program, talking points, etc.), serving as main contact for guests, hotel needs (in certain cases), golf outing coordination (in certain cases), coordinating audio/visual needs, adhering to established budgets, ensuring adequate staffing, coordinate set-up/breakdown, coordinate event follow-up plan with assistance from Director of Communications (appropriate thank you, appeal, photo disbursement, surveys, etc.).
Serves as onsite contact for Development events when needed to facilitate the operations. Responds to problems and ensures all aspects of the events are implemented and controlled according to plan.
Works in partnership with University Advancement’s Events Team
Serves as Athletics staff liaison in donor hospitality areas on game day
Assists in the negotiation of contracts with various vendors to ensure costs and terms of contracts are within budgetary guidelines.
Assists in the development and tracking of event budgets and ensures all stated guidelines are adhered to.
Aids in the execution of Deacon Club stewardship initiatives for donors
Ensures compliance with NCAA rules and regulations related to outside interest groups, to include keeping donors informed as to applicable rules, and preventing interference with the operation of intercollegiate athletics programs.
Performs other related duties as assigned.
Minimum Qualifications:
BS degree in Administrative, Business, Liberal Arts, Social Sciences, or related discipline plus two to three years of experience directly related to the duties and responsibilities specified, or an equivalent combination of education and experience.
Knowledge, Skills, Abilities:
Knowledge of NCAA regulations and guidelines.
Knowledge of alternative fundraising programs, methods, techniques and giving strategies.
Skill in organizing resources and establishing priorities.
Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community.
Ability to communicate effectively, both orally and in writing.
Ability to foster a cooperative environment.
Ability to develop, plan and implement short- and long-range goals.
Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
Ability to analyze financial data and prepare financial reports, statements, and/or projections.
Proficiency in the use of computers and related software applications.
Ability to work evening, weekend hours and travel
Valid driver license with good driving record; must be insurable.
Supervisory Responsibility:
Provides guidance and supervision for student workers, interns and volunteers.
