This position will coordinate Athletic Department events and all outside rental events held in Athletic facilities. They will also manage facility scheduling and calendars for special events in all athletic department facilities.

Facility Management Duties: Help manage athletic department events in assigned varsity athletics facilities and outside group events in other athletics department facilities, with the primary focus being on the Boas Tennis and Soccer Complex (Boas). Maintain overall schedule for Boas, coordinate the event planning and approval process, administer facility and event management policies. Oversee tennis memberships and front desk administration for the indoor tennis courts. Organize and maximize the court usage between tennis teams, members, and group bookings. Hire, train, and oversee Boas front desk staff. Typical duties of front desk staff consist of assisting club members with taking reservations, collecting payments, quoting rates, determining facility availability, and describing amenities to potential members. Provides oversight of Boas Tennis/Soccer Facility's day-to-day duties, cleanliness, and completion of work orders for building repairs and maintenance. Event Management Duties: Assist in the supervision of event staff working rental events in athletics facilities to ensure proper management of events. Coordinate the guest services needs for various varsity athletic and special events with the Director of Guest Services, appropriate campus groups, and outside contracted event services. Communicate event needs with outside clients including the event set-up, rental of equipment and utilities, coordination of client load-in and load-out, and other associated event needs. Assist with the creation and management of pre-event checklists, set-up sheets, name tags, uniforms, radios, communication equipment, and pre-event budgets, as well as post-event reporting. Support the efforts of the Athletics Business Operations for invoicing the client(s) and collections of all issued invoices. Other duties as assigned.

Working knowledge and understanding of all NCAA rules and regulations regarding compliance issues. Client-facing and customer service expertise, including effective and professional oral and written communication, as well as confident interpersonal interaction. Working knowledge of event scheduling methods, facility use agreements, and event planning process. Ability to make quick, rational decisions. Ability or capacity to recruit, hire, train, mentor, and evaluate student and full-time staff. Excellent communication skills to work. as a high-level customer service representative for event patrons. Experience managing budgets.
Bachelor’s Degree or equivalent relevant professional experience.
One (1) year of experience supporting successful varsity athletic event operations. One (1) years of experience directing game operations across a variety of sports and facilities. One (1) year of customer service experience.
