| Primary Duties and
Responsibilities: |

Under the supervision of the Senior Associate Athletic Director for Administration, this position assists in the facilitation and supervision of the administrative operations of Belmont’s Office of Athletics to maintain efficient workflow and high levels of productivity in the Department of Athletics.

• Recruits, trains, supervises, and schedules 20 plus student-workers paid through the Federal Work Study program to cover office duties during regular business hours and game-day operations for athletic events. Is present at all home basketball games to oversee student workers assigned to the events.
• Serves as the primary liaison to the Office of Human Resources and manages all human resource functions for the Athletic Department (Full time and part time employees, graduate assistants, and student workers.) : creating and updating job descriptions; posting vacant positions; notifying HR of new hires; onboarding new staff members; coordinating resignations/terminations; and facilitating the performance review process and required training workshops for the department.
• Oversees the recruitment, staffing, and onboarding process for all graduate assistant and internship positions in the Athletic Department to include the preparation and execution of required agreements and documentation.
• Provides administrative support to the Vice President/Director of Athletics and other senior-level management staff, including but not limited to: maintaining calendars; scheduling facility use, including the conference room and new tennis facility; coordinating postseason travel details for teams and administrators; creation of presentation documents; and assisting with other projects, as needed.
• Performs general office management/administration duties, including but not limited to: managing the athletic department computer inventory to include scheduling required operating system upgrades, overseeing equipment rotations/upgrades/purchases, maintaining an up-to-date equipment list, and serving as the departmental liaison to the Service Desk; maintaining an inventory of office supplies and placing stock orders, as needed; scheduling service repair work for all office equipment; distributing incoming mail daily; recording and reporting employee leave time in Banner.
• In coordination with the budget assistant, assists with the oversight of 30 plus department procurement cards on an as-needed basis, collecting and recording transactions and flagging charges for closer review.
• Administers textbook scholarship program for student-athletes on a semester-by-semester basis. Responsibilities include but are not limited to: communicating relative student information to the university’s course materials manager and book supplier; coordinating delivery and/or pick-up of textbooks; assisting students in properly returning and obtaining new books during drop/add periods; communicating return processes to students at semester end to ensure compliance with NCAA bylaws; and, properly crediting supplier refunds to the textbook scholarship account.
• Plans and coordinates all departmental non-athletic events, including reserving facility space, ordering food, decorating the facility space, and overseeing invitations, reservations and payments, if applicable. These events include but are not limited to: the annual Hall of Fame induction dinner; the Bruins Choice Awards program; Hoop Hour and Tip-Off Luncheons for all sports; Athletic Committee meetings; the staff Christmas program; staff outings/retreats.
