Job Description:
The Assistant Director of Compliance is responsible for, but not limited to, assisting with the day-to-day duties of managing the compliance office. This position assists the Director of Compliance by being a secondary liaison between several College departments, including: the compliance committee, department of athletics leadership team, Admissions, Financial Aid and Registrar. This position also serves as the secondary liaison to the NCAA and the Eligibility Center.
Under the direction of the Director for Compliance, the incumbent provides NCAA compliance support to the Athletics Compliance Department.
Assists in evaluating and maintaining accurate student-athlete eligibility and participation records.
Assists with updating and maintaining Recruiting and Compliance Systems (ARMS) and monitor the recordkeeping of recruiting activities of coaching staff (e.g. contact and evaluation logs, phone logs and countable activity logs) ensuring compliance with NCAA rules and regulations.
Assist with managing ARMS software processes. Assist with creating, maintaining and updating all workflows in ARMS. Review data for accuracy, review processes, troubleshoot and identify areas of improvement.
Assist with coordinating and facilitating training session for employees and student-athletes on the use of ARMS. Ensures that users are aware of the importance of accurate and timely data entry and compliance.
Assist with NCAA Bylaw 17, Playing and Practice Seasons, enforcement, including but not limited to countable athletically related activities (CARA), time management plan (TMP), scheduling and Sports Sponsorship.
Assists with distribution of educational information/materials (i.e graphics, social media content, newsletters) to coaches, student-athletes, boosters and the general community on NCAA rules and regulations.
Assists with data entry of reports for the Department, Institution, affiliated Conferences, and the NCAA as requested.
Assists in the initial eligibility certification process and in the transcript evaluation process for prospective incoming freshmen and transfer student-athletes.
Assist in updating and maintaining all NCAA squad list documents in the NCAA Compliance Assistant internet software.
Responds to inquiries related to compliance. Consult with Assistant Athletic Director of Compliance for complex matters.
Reviews Amateurism and Name, Image, and Likeness usage by student-athletes.
Review and identify policies and procedures that may be incorporated in ARMS and may propose policy/procedures updates and/or changes to the Assistant Athletics Director of Compliance/Inclusive Excellence.
Assist with various compliance related activities that may occur during nights, weekends and holidays to meet programmatic needs.
Maintain collaborative and positive working relationships with administrators, coaches, student-athletes, boosters and other college offices, in addition to the external community.
Maintains confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and Mount St. Mary’s University policies.
Know, recognize, and comply with the laws, policies, rules, and regulations governing Mount St. Mary’s University, its employees, and the rules of the NCAA and affiliated conferences as now constituted or as may be amended in the future. Immediately advise the Director of Athletics or designee if there is reasonable cause to believe violations, whether by employees, students, or others have occurred or will occur.

Job Requirements: Education, Experience and Skills:
Bachelor’s Degree required
1-2 Years of Experience Preferred in Athletic Department Compliance
Excellent Oral and Written Communication Skills
Strong Attention to Detail
Ability to work independently and complete tasks in a timely manner
Must be a Team Player
Proficient in Microsoft Word, Excel, and PowerPoint
Knowledge of NCAA rules, LSDBI, and ARMS software
