ASSISTANT DIRECTOR / SPORT OPERATIONS
As a member of the Athletic department’s administrative team, the Assistant Director of Sport Operations is responsible for coordinating 12 Olympic sports teams, assisting with Basketball and Football, and coaching administrative staff with their team travel and recruiting & official visit needs. This position is also responsible for ensuring other staff and coach travel arrangements and payments meet
NCAA
, university, and Athletics department policies, budget, guidelines, and other athletic administrative responsibilities. The position also serves as the Athletics Business Office (
ABO
) liaison to several sports teams.
Bachelor’s degree or an equivalent combination of education and experience equating to four years.
Experience in financial operations, including but not limited to, budget development management and financial reconciliations.
Exceptional interpersonal and communication skills.
Strong attention to detail and organizational skills.
Ability to multitask and meet deadlines.
Understanding of purchasing and payables procedures.
Strong computer skills including MS Office Suite software.
Ability to perform the essential functions of the position with or without reasonable accommodation.
One year of intercollegiate Athletics employment experience.
One year of relevant experience, including experience in purchasing and payables procedures.
Experience coordinating travel at the collegiate level for multiple sports teams.
Experience booking/coordinating travel for large groups included air transportation, ground transportation, and lodging.
Experience using
MAC
applications.
Plans, arranges, and books travel arrangements (transportation, meals, lodging, etc.) for 12 Olympic sports teams and coaching staff.
Negotiates cost efficient and convenient team travel arrangements with airlines, bus companies, hotels, restaurants, and travel agencies, etc. in coordination with
CMU
Athletics Business Office, Compliance Office, and sports teams.
Monitors and reports all travel & recruiting expenses, ensuring all meet Athletics budget,
NCAA
compliance policies and university policies/guidelines.
Coordinates recruiting trips for head coaches, assistant coaches, sport administrators, GA’s and visitors.
Responsible for game day operations (coordinates student staff, interns, ensures facility items are addressed, etc.).
Various Athletics Business Office responsibilities.
Ticket office reconciliations and deposits.
In charge of safe audit management.
Ensures all credit card statements are turned in and processed.
Processes team travel budget development.
Completes all tax exempt forms.
Completes travel facility insurance requests.
Responsible for completing purchasing requests for all travel.
Responsible for travel accounts payable.
Ensures all bus travel meets insurance requirements.
Designated as the department contact for the enterprise account.
Processes RFP’s for all charter flights except football.
Coordinates multiple team rosters, schedules, and events.
Provides team schedules to various athletics employees to promote awareness of home games, travel times, and etc.
Coordinates with the risk management team regarding travel rosters.
Informs the risk management team of all travel information via the Proposed Educational Trip form.
Confers with travel agencies as needed and other coaching/administrative travel arrangements as needed (professional development, etc.).
Processes new motor vehicle records (
MVR
) requests and renewals for department.
Coordinates
NCAA
or other post season travel.
Assists with gymnastics officials contracts, including contract development and travel.
Assists with other game officials.
Coordinates with local police departments where athletic teams travel to obtain information on local crime during team stays in order to comply with the Clery Act.
Completes other duties as assigned.
