This is a professional position responsible for serving as the National Collegiate Athletic Association (
NCAA
) certification officer in the Office of the Registrar. Responsible for obtaining, evaluating, and documenting student-athlete academic credentials in accordance with
NCAA
and conference rules and regulations. Ensures compliance with federal financial aid enrollment requirements while ensuring that university policies and federal regulations are followed. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Associate Registrar.
Obtains and evaluates academic credentials for each student-athlete to determine eligibility status and files appropriate documentation to support certification.
Completes certification of
NCAA
requirements of academic performance program via
NCAA
software portal.
Updates and monitors student-athlete and team
NCAA
eligibility and provides response to
NCAA
requests for information.
Manages and maintains all student-athlete eligibility certification documentation.
Maintains working relationship with appropriate campus departments and completes documents that support communication between departments.
Monitors enrollment status of student-athletes, managers, practice players, and graduate assistants in collaboration with the athletics department.
Assists in answering routine questions concerning university and departmental policies and procedures. Escalates issues to appropriate staff.
Understands and applies the Family Educational Rights and Privacy Act (
FERPA
) as it relates to students’ privacy rights with student records.
Compiles and submits various special, monthly, quarterly, annual, and ad hoc reports.
Scans electronic images into imaging database, performs verification, and links imaged documents to the student information system.
Archives records in accordance with retention requirements.
Maintains and updates departmental policies and procedures for athletic eligibility.
Stays abreast of
NCAA
and conference rules and regulations applicable to student-athlete eligibility.
Reviews and updates student records in order to comply with federal financial aid enrollment requirements.
Assists other positions within the Registrar’s Office as needed.
Performs other related duties as assigned.

Knowledge of records administration and maintenance techniques and procedures.
Skill in using computer applications such as spreadsheet, database, and word processing software.
Ability to understand and communicate
NCAA
and conference rules and regulations related to athletic eligibility.
Ability to assess individual student-athletes’ academic needs relative to
NCAA
progress towards degree requirements.
Ability to interpret complex documents and perform analysis.
Ability to accurately prepare and maintain records, files, and reports.
Ability to communicate effectively in both oral and written form.
Ability to explain policies and procedures to students, faculty, and staff.
Ability to maintain effective interpersonal relationships.
Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
Ability to set priorities and complete assignments on time.
Ability to learn office- and university-specific software.
Ability to work with and maintain confidential information.
Ability to maintain currency of knowledge, including changes in rules and regulations related to the area of responsibility.
Completion of at least two years of college coursework or an Associate’s degree is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.
Two years of related experience is required.
Bachelor’s degree is preferred. Experience with
NCAA
athletic compliance or experience in a registrar’s office or other comparable area is preferred.
This is a security-sensitive position subject to criminal record check.
This is an IT-sensitive position subject to the Computer and Network Security policy.
Hiring Salary - $50,000
No
This position is eligible for participation in the Teacher Retirement System of Texas (
TRS
) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
