Position Summary
The NCAA Athletic Certification Officer, housed in the Office of the Registrar, is responsible for obtaining, evaluating, and documenting the academic credentials, initial and continuing eligibility of all prospective and continuing student-athletes in accordance with University, NCAA, and Conference bylaws. The Office of the Registrar should be active participants in the process and help to ensure that no violations of NCAA legislation are occurring and have a sense of responsibility for the integrity of success.
Duties & Responsibilities
Coordinates eligibility certification for athletes specializing in the following functions:
• NCAA Athletic Certification Officer maintains and manages all registration, enrollment and certification documentation, the official certification process, and final submissions of certification reports to ensure adherence to University, Conference and NCAA rules compliance.
• Responsible for the initial, continuing evaluation and monitoring of student-athletes eligibility related to financial aid, practice, and competition.
• NCAA Athletic Certification Officer serves as the final authority in the certifying process for all student-athletes NCAA eligibility determinations by verifying and confirming that each student-athlete is eligible in accordance with the rules and requirements published in the University’s Catalog along with NCAA and Conference rules.
• The position also determines satisfactory progress per NCAA regulations and assists in the updating of ARMS Compliance software.
• The incumbent is responsible for planning and implementing the established certification procedures to ensure the accuracy and timeliness of the certification cycle for student-athletes for each academic term.
• Evaluate transcripts and records for initial and continuing eligibility certification purposes. Complete ‘what if” audits for transfer projections and/or for major changes.
• Maintain accurate record keeping and documentation for student-athletes.
• Determine total number of transferrable, and degree applicable hours toward student athlete’s NCAA progress toward degree.
• Collaborate with college advisors and monitor degree requirements and degree audit reports.
• Verify the accuracy of degree audits and communicate with the appropriate campus personnel to resolve disputed documentation or calculations.
• Coordinates with representatives of each college and other academic departments to ensure student-athletes have satisfied the course, GPA, and percent of degree requirements for continued eligibility (i.e., “progress towards a degree” or “satisfactory progress”).
• Monitors academic and eligibility issues, which have the potential of developing into a rules violation, and advises the Registrar and the institution’s compliance director about matters, which may require investigative efforts to resolve.
• Coordinates the daily office operations of NCAA Eligibility: Develops standard operating procedures used in NCAA eligibility determination and prepares written documentation.
• Designs/revises eligibility certification documents, squad lists, degree planning sheets, and other materials as necessary.
• Identifying system related problems, preparing written documentation of such problems and submitting them for analysis.
• Coordinate with college advisors, Athletic Compliance Office (ACO), Faculty Athletics Representative (FAR), and Student-Athlete Academic Services (SAAS) regarding the NCAA Certification Committee and the Certification Cycle.
• Serves as liaison with the Athletic Department in all matters related to registration.
• Creates and maintains hard copy and/or electronic student-athlete record files.
• Provides data and records as needed for preparation of the annual NCAA Academic Progress Rate, (APR) and Graduation Success Rate (GSR).
• Prepares Federal, State, Institutional, and NCAA reports, maintains records and prepares reports for review by NCAA, conference and institutional representatives including but not limited to the GSR, FGR and APR annual reports.
Coordinates the processing and updating of changes to student athletes' records:
• Coordinates the processing of attribute coding and maintenance of sport roster codes for student athletes and affiliates.
• Add holds on student-athletes records to ensure full-time enrollment.
• Interacts with the academic departments in matters related to student-athletes' registrations, college and curriculum classification/changes, academic performance, etc.
• Identifies and monitors the various student-athlete status groups within the University’s student information system.
Assists in coordination of Registration Services processing:
•The incumbent may also serve as a member of the Registration Services Team and the management team for the Office of the Registrar.
Perform other related duties and participate in special projects as assigned.
