Job Purpose
In accordance with the mission of Wayne State University and the Department of Athletics, the individual will assist in administering all aspects related to the Athletic Department and provide executive-level administrative and professional support to the Director of Athletics. This position serves as the first point of contact to the Athletics Director (AD) internally and externally, assisting with a variety of administrative responsibilities, many of which are sensitive and confidential in nature. The assistant manages administrative functions, serves as an information hub on behalf of the AD and maintains a high level of awareness of the AD’s priorities. The position will manage competing priorities in a fast-paced environment and must be able to evaluate and set work priorities according to the needs of the office. Must be able to work independently, proactively, and collaboratively.
Essential Functions
Manage all administrative tasks related to the AD’s office, including managing email communication, scheduling, coordinating travel, organizing events, preparing presentations, and tracking deadlines.
Effectively and professionally represent the AD’s office, as appropriate, in internal and external meetings and events. Serves as liaison between the AD’s office and other offices at the University.
Manage, track, and help triage and respond to internal and external communications between the AD and other parties and ensuring appropriate follow through.
Manage complex business travel, purchases, and financial transactions in compliance with university and NCAA policies.
Serve as the supervisor for student workers that work the Front Desk of the Athletic Department Office.
Manages assigned projects through all phases from initiation to completion and evaluation. Maintains confidentiality and exercises discretion with private and/or sensitive information.
Deliver programmatic and administrative support for in-person and virtual team meetings and all-hands, including scheduling, booking rooms, event registration, inviting and coordinating speakers, drafting agendas, preparing materials and handouts, and other coordination as needed.
Perform other related duties as assigned.

Willingness to work in a competitive environment and adjust to a flexible work schedule (i.e., early morning, evenings and weekends will be required). Occasional travel, including overnight travel, to coordinate and manage offsite events, gatherings, greet guests and donors, etc.
