JOB SUMMARY  

 

Provide administrative support to the Athletics Director

ORGANIZATIONAL RELATIONSHIPS 

 

Reports to: Athletics Director

Supervisory Responsibility: N/A 

Indirect Supervisory Responsibility: N/A

 

 

ESSENTIAL DUTIES - May include, but is not limited to the following: 

 

1. General office duties

• Serve as the first point of contact for internal and external inquiries, ensuring excellent customer service.
• Process and distribute all office incoming mail
• Maintain and replenish inventory of department office supplies
• Serve as communication between the Department of Athletics and various departments across campus
• Maintain accurate records, filing systems, and databases 

1. Oversight of the following functions of the department:

• Review and approve Divvy transactions for athletic department staff
• Manage office operations, including scheduling meetings, maintaining calendars, and coordinating travel arrangements.
• Oversee the hiring process for all athletic department coaching interns and GA’s

1. Assist the Director of Athletics regarding all departmental projects and tasks, which includes but are not limited to:

• Taking meeting minutes at all departmental staff meetings and other called meetings
• Assist with event coordination, game-day operations, and department-wide communications.
• Prepare correspondence, reports, and presentations as needed

1. Other duties, as assigned, to contribute to the success of the Athletics Department.
    

ADDITIONAL/NON-ESSENTIAL DUTIES 

 

All remaining duties are considered "nonessential" within the context of the ADA, which means that the function could be reassigned to another employee in order to allow a disabled individual to hold the position.  Alternatively, the manager could try to provide a reasonable accommodation so that the disabled individual could perform the function.

Qualifications

 

EDUCATION   

 

Required Education:

Bachelor's in any discipline

Preferred Education:

Bachelor's in business administration, sports management or other related degree

 

LICENSES/CERTIFICATIONS

N/A

 

EXPERIENCE 

 

Required:

At least a year of data entry and office administrative work 

Preferred:

Experience in an athletics department, preferably in higher education

  

 

KNOWLEDGE, SKILLS, AND ABILITIES

Required:

1. General knowledge of office equipment
   
   1. Typing and general office organizational and management skills
      
   2. Computer experience required with proficiency in the Microsoft Office suite as well as Google Docs, Sheets, Slides, and other software
      
   3. Strong written and verbal communication skills
      5.    Ability to work well in a team setting and be a positive member of the department

WORK ENVIRONMENT

Physical Requirements: 

 

Sedentary to light activity, sometimes with extended periods of sitting. Occasional standing or walking may occur during event setup or on-site oversight.

Lifting and carrying is minimal, but some activities might involve light lifting (up to 20-50 pounds) for setup of event materials, promotional items, or facility inspections. Heavier lifting is rare and not core to the position.

Schedule:

Mostly 5 days per week, work with some weekends required due to university activities. 

 

TRAINING

All new hires and employees transferring into a new position will have a 90-day probationary period within which to learn the functions of the job and to be evaluated. Following the probationary period, the employee can transition to regular status, have the probationary period extended in order to receive more training, or employment can be terminated. Required compliance training is as follows:

Regular SEU onboarding as well as more specific athletics-related training.

• Employees must report any unsafe work conditions or practices, as well as any near-miss incidents, to their supervisor and Risk Management. 
• Work-related injuries must be immediately reported to Security and Human Resources. When life or limb are at risk, please dial 911. Supervisors and employees should ensure that injury/accident reports are submitted to the Office of Human Resources within 24 hours of the incident. 
• Emergency Employees report for or must remain at work in emergency situations.  Dismissal or closure announcements do not apply to this position, unless instructed otherwise by your direct supervisor or a member of the Leadership Team.  

 

SCREENING

All full-time positions at SEU are deemed security-sensitive and require background checks. Employees required to drive their own personal vehicle, a rental car or an SEU vehicle in performance of their duties must pass an MVR records check and meet the requirements of the University’s insurance carrier in order to meet the requirements of the position.
