Position Description:
The Associate Athletic Director for Administration and Internal Operations will provide high-level strategic and human resources planning and support, coordinate actions, and proactively initiate, execute, and implement communications and initiatives in support of the department goals. Ensures operational efficiency and effectiveness within the Athletic Department. The position provides oversight and project management for the department's strategic priorities as outlined by the Director of Athletics. This position will interact on a regular basis with the President’s office, UofL board members, executives, staff, campus partners, external partners, donors, and student-athletes. This position provides advice and counsel to the Director of Athletics and staff.
JOB RESPONSIBILITIES
Lead the implementation and advancement of the UofL Athletics’ strategic plan, including tracking and the publication of an annual progress report.
Provide oversight and executive level management of strategic priorities and initiatives for UofL Athletics. Oversee strategic initiatives from ideation to implementation.
Work closely with Senior Staff on monitoring and achieving department goals. Collaborate with senior staff to determine and prioritize department strategies.
Provides leadership oversight of all HR related functions and actions.
Serves as the Sport Administrator for the Men’s Basketball program.
Help identify talent development needs for the department through surveys, focus groups, data analysis and interviews with leadership, coaches, program leaders, and newly hired and exiting staff.
Collaborate with leadership to develop targeted training programs for athletics staff and coaches aimed at building specific skills, knowledge, and competencies.
Help design, develop, implement, and assess various education programs, team building and morale-enhancing activities, and employee recognition programs for the department.
Anticipates, identifies, and troubleshoots issues of concern or significance; exercises discretion to provide timely information and necessary updates across multiple stakeholders.
Ensures matters requiring the attention of executive leaders are thoroughly developed, researched, and evaluated; responds to routine inquiries in a timely manner.
Gathers, investigates, researches, analyzes, and/or studies information affecting department-wide, intradepartmental, or interdepartmental operations; participates in institutional planning, policy development, and problem resolution as a member of executive staff.
Researches, writes, edits and/or coordinates preparation of special reports, briefings, and presentations; conceives, crafts, and edits messages, letters, and other communications on behalf of the Athletic Director.
Handles sensitive and confidential information as appropriate.
Serve as the executive liaison with the President’s office, staff, faculty, students, external consultants, and the general public, representing the Director of Athletics as needed.
Oversee the individual(s) providing administrative support for the Director of Athletics and executive team.
Represent the Director of Athletics as a chair or leading member of working groups as needed.
Work closely with the Athletics compliance office regarding NCAA rules and policies, including reporting requirements.
Assist with the Director of Athletics’ schedule, meeting cadence and travel plans.
Determine key performance indicators and how to measure department performance.
Focus department meetings to achieve the desired end-state, with structure and appropriate content.
Identify and help solve core problems or opportunities with improvements to internal processes.
Assess risk when decisions are made.
Plan, coordinate and lead department retreats and All Staff Meetings.
PREFERRED QUALIFICATIONS
Master’s Degree in higher education.
Program management experience.
Advanced abilities in strategic planning and leadership.
Highly motivated and collaborative.
Able to build relationships.
Excellent communication, interpersonal and organizational skills.
Proven leadership experience.
Advanced knowledge and skills regarding the organization and management of a large staff.
Exceptional skills in conflict management, collaboration, decision-making, facilitating change, and guiding and developing staff.
Knowledge of NCAA rules and regulations.
Prior Division I college athletics experience.
Ability to work nights and weekends and/or holidays.
