Definition of Classification:
The Assistant Athletic Director, Facilities & External Engagement will assist the Vice President of Intercollegiate Athletics with the oversight of the overall management of departmental operations including external facility rentals, scheduling and operations of athletic facilities, short-term and long-term facilities planning and sponsorships and external partnerships.
Reporting to the VPIA, this position is part of the Athletic Department's leadership team and provides administrative support and oversight to assist in managing the department. This role will assist with the oversight of athletic programs as assigned.
This position requires flexibility to work evening and weekend hours as well as the ability to travel, as required.
Duties and Responsibilities:
The duties and responsibilities include, but are not limited to, the following:
• Oversight of master facility calendars and scheduling systems (including all Musco lighting); balance varsity, club, intramurals, recreation and external rentals while prioritizing student-athlete needs and academic mission.
• Serve as the primary athletic facilities liaison with plant operations and campus partners to ensure proper operations of all athletic facilities and events.
• Coordinate routing maintenance, work orders, and preventive care with campus facilities office
• Maintain facility standards and develop multi-year capital improvement plans and equipment lifecycles.
• Maintain and train coaches, staff and students on Emergency Action Plans (EAPs), risk management protocols, inclement weather procedures, fire/life/safety standards and ADA compliance; ensure compliance with NCAA/SCIAC and University policies.
• Coordinate with all internal and external constituents for the use of athletic facilities including varsity athletics, club and intramurals, campus partners and external rental groups.
• Develop and manage facilities/event operations budgets; track expenses, forecast needs and identify cost efficiencies and revenue opportunities (rentals, sponsorship activations)
• Oversee facility-related vendor relationships including bid processes
• Build relationships with local schools, youth sports organizations and civic groups to increase attendance and participation in special events.
• Organize community clinics, open houses and facility tours to strengthen ties with Redlands and surrounding areas
• Identify and cultivate partnerships with local businesses and regional corporations for sponsorships, advertising and event activations.
• Develop sponsorship packages that include signage, digital placements, social media mentions and in-game promotions.
• Manage fulfillment of sponsor benefits and ensure ROI through post-event reporting and engagement metrics
• Collaborate with Advancement office to create fundraising opportunities tied to community events (alumni mixers, corporate networking nights etc).
• Manage the internal and external camp and clinic program for the athletic department in collaboration with coaches, staff and the University Events office.
• Oversight of the external facility rental and external revenue generation program including scheduling, contract development and payment collection. Revenue goal to be determined by VPIA.
• Serve as sport administrator for selected athletic programs, as assigned by the VPIA.

Primarily on-site at athletic facilities, offices and event venues. Frequent movement between indoor and outdoor locations, including stadiums, fields, gymnasiums and aquatic centers. Standard office setting.
Physical Demands:
Incumbents need the ability to stand and walk for extended periods during events and facility inspections. Occasional lifting and moving of equipment (up to 25-50lbs) for event set up and sponsor activations. Comfortable working in varied weather conditions during outdoor activities.
