Apply NowThis position reports to the Vice President for Athletics and National Engagement (VP), and acts as the primary point of contact for athletic program operations including gameday, scheduling, and transportation in support of the goals and operations of the Department of Athletics. This position involves a supervisory role in sport oversight, facilities, equipment, and student staff as assigned, other duties pertaining to the operational needs of the department. The Assistant Athletic Director serves as an Athletics liaison to Facilities, Alumni Relations, Integrated Marketing and Communication, and the Executive Committee of the Blue Gold Club. This position works closely with Sports Information Director, Spirit Squad Coordinator and Pep Band Director to elevate the game day experience. Other duties pertaining to the operational needs of the department assigned as needed (i.e., post season arrangements).
Assist coaches with Division
III
varsity athletics program management to include game day preparation, scheduling, transportation and interterm meals in compliance with
NCAA
, conference and University policies.
Assist new staff members with becoming familiar with policies and procedures.
Communicate needs of Athletics with Facilities,
JCUPD
, Housekeeping, Fleet Management, Grounds and Information Technology Services.
Transportation oversight – responsible for assigning athletic vehicles (15 passenger vans, minivan and rental vans). Coordinate all personnel
MVR
records and training of van drivers for certification. Book all charter buses for all sports and monitor transportation needs and changes weekly.
Summer Camp oversight – responsible for laying groundwork for sport camp directors regarding budget, personnel and scheduling of facilities. Liaison to Director of Risk Management with regards to risk management concerns. Responsible for oversight of paperwork certifying “Minors on Campus” and Authorized Adult certification. Responsible for paperwork for all summer hires, coordinating payroll and budget transfers.
Coordinate and oversee preseason meal planning and billing in addition to fall break and interterm needs.
Oversight of equipment and facilities operation.
Plan and direct staff meetings for home game administration and needs.
Communicate regularly with Director of Recreation/Intramurals related to programming and facility usage.
Assist in tracking expenditures and vendors related to facilities and equipment.
Continue to evaluate optimal space opportunities (offices, practice sites, locker rooms) and the need for maintenance/upgrades.
Coordinate facility rentals of outside groups i.e.
CYO
, high schools, group events and summer camps to include contracts, invoicing, gate keeping paperwork, waivers and certificate of insurance.
Refine rental policies, pricing structure and staff responsibilities related to outside groups and summer camps.
Assist in management of facility maintenance and usage, and work with coaches to manage, update and share online schedule.
Facilitate outreach to community to target facility usage focused on youth.
Assists the VP in the tracking of fundraising and oversight of online team shop, and royalty income.
Serves as Athletic Department liaison to Enrollment for recruiting and admissions events (Blue Streaks Preview Day, Open Houses, Celebration, and other hospitality events.
In conjunction with Advancement and Alumni Relations, assumes lead planning role with duties related to the Hall of Fame induction, Homecoming weekend, and Blue Gold Club events.
Coordinates game day events with the Spirit Squad Coordinator and Pep Band.
Supports efforts and planning for events related to out of town competitions and engages appropriate resources including Alumni Relations,

and student athlete parents and fans.
Assists with the oversight of ticket and staff personnel for game days and other athletic based special events. Produces financial reports as appropriate.
Coordinates Athletic Department recognition events including the Academic recognition programs during

Week,
JCU
Team Service Awards,
DIII
Week activities with the Student Athletics Advisory Council (
SAAC
) and supports coaches with Team recognition events as needed.
Supports the efforts Student Athlete Advisory Committee (
SAAC
) and Carroll Crazies and communicate with leadership about mutual goal setting and projects.
Works with Athletic division leadership, Advancement Major Gift Officer for Athletics, and Director of Alumni Relations to support Blue Gold Club membership drive and provides leadership for Blue Gold events (annual fund-raiser, senior student athlete event, sport specific alumni activities, etc.)
Actively participates as a member of the Blue Gold Executive Board with specific responsibilities to be determined.
Enhances the visibility of Blue Gold Club at strategic home key dates by engaging alumni and members of the Executive Committee as representatives at key events.
Works with Alumni Relations and coaches to maintain alumni data for each sport and support coaches’ outreach and engagement with alumni.
Engages the City of University Heights to promote community engagement with Athletics events.
Participates in Athletics/University committees (including Homecoming/Family Weekend, Reunion Weekend).
Engages in professional development opportunities with VP approval.

Bachelor’s degree.
3 or more years of collegiate coaching or administrative experience.
Knowledge and experience with event management (planning, logistics, scheduling), marketing and fundraising.
Strong oral and written communication, organizational skills as well as attention to detail.
Creative thinker with the ability to problem solve in a high paced environment.
Ability to lead, train and supervise game day staff.
Passion for college athletics and mentoring student athletes.
Experience with website, social media, and other software systems that support marketing, events management and fundraising.
Interest in understand and supporting John Carroll’s mission to inspire individuals to excel in learning, leadership, and service in the region and in the world.
Master’s degree.
3 or more years of experience in collegiate athletics with focus on revenue generation, marketing or external relations
Knowledge of
OAC
(or future conference) and
NCAA
related legislation, in particular how it relates to fundraising and marketing.
Knowledge of and experience with Division
III
athletics and
NCAA
compliance.
Familiarity with Microsoft Office and/or Adobe Creative Suite (InDesign, Photoshop)
Previous experience with ticketing software platforms.
This position works in person from our campus in University Heights, Ohio. University core business hours are generally 8:30 am – 5:00 pm. However, this position will require work to be performed outside of normal business hours based on department operations.
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other office locations and to verbally communicate to exchange information.

Starting salary will be $45,000 – $58,000, commensurate with qualifications.
