A. POSITION PURPOSE
The Associate Athletic Director of Sports Medicine is responsible for developing, coordinating, and administering all aspects of a Division I sports medicine program that serves approximately 425 intercollegiate student athletes. This position is the primary liaison to Cowell Heath Center, Counseling and Psychological Services (CAPS), West Coast Sports Institute (contracted team physician group), and other health care professionals. The person in this position is responsible for abiding by all WCC and NCAA regulations plus assisting to ensure departmental compliance. As a member of the athletic department’s senior management team, has a key role in advising and making recommendations to the department executive staff and University General Counsel in matters of all health, well-being and medical services.
B. ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Program Administration and Professional Relationships
Develop, coordinate, and administer an overall sports medicine program, including, but not limited to: injury prevention programs, injury evaluations, and injury treatment plans for student athletes.
Responsible for the formation of the department athletic training staff, including hiring, training, education, supervision and evaluation of assistant/associate athletic trainers, graduate assistants, student athletic trainers.
Responsible for identifying and managing the contract with the medical services provider group that employs the team physicians.
Provide administrative oversight and assign staff responsibilities for insurance claims; staff scheduling; physician coverage of clinics, competitions, and preseason physicals; to monitor inspection and maintenance of Sports Medicine equipment; health and wellness education; and equipment/supply requisition.
Coordinate the system, policy, procedure, and oversight of medical records for all student-athletes. Work in conjunction with team physicians and the General Counsel to ensure best practices for medical record keeping to ensure compliance with all state and federal laws.
Coordinate with the Associate Athletic Director for Compliance to assist in the processing and filing of any medical hardships, redshirts, or necessary waivers.
Coordinate administrative responsibilities and professional working relationships with team physicians, Cowell Health Center, Counseling and Psychology Services (CAPS) and act as a liaison to all medical consultants and external specialist and medical services providers.
Act as liaison between medical providers, coaches, athletes, parents (if authorized), Cowell Health Center (if necessary) on medical consultation and status matters.
Work in conjunction with Sports Performance staff to ensure safety in the successful implementation of fitness, nutrition and conditioning programs for student athletes.
Maintain clinical affiliations with accredited regional and national universities supporting programs in athletic training education. Serve as an approved preceptor for athletic training students from those programs.
Oversee annual update and communication of the Sports Medicine Policy and Procedure Manual.
Ensure unit compliance with NATA, BOC, NCAA, WCC and institutions and other relevant regulations
Oversee emergency procedures plan with Assistant Athletic Director for Facilities and Operations and University Emergency Services.
Oversee the administration of sports medicine related seminars for staff, coaches and student athletes.
Responsible for drug dispensing program and adherence to OSHA and DEA regulations.
2. Team Support
Represent Santa Clara University as the certified athletic trainer at home and away events for assigned sports, and any other events or teams that may need to be covered.
Work closely with appropriate medical personnel who provide medical care and treatment of athletic related injuries. Create injury management plan that may include doctor visits, x-rays/scans, medical exams/studies, rehabilitation programs, and/or surgery for injured student-athletes.
Act as onsite emergency care representative at team practices and games.
Maintain timely communication regarding student athlete status between coaches, sports performance, physicians and administration.
3. Financial and Insurance Management
Develop and manage the sports medicine unit operating budget.
Assist the oversight of the University secondary insurance program.
Identify and develop partnerships and agreements in the discipline(s) of general medical services, orthopedic services, radiology/imaging, surgical services (case rates, price bundling, discounts, etc.), or other relevant disciplines.
Serves as the University contact for the resolution of problems concerning student athlete health benefits; serves as intermediary with vendors and an advocate for student athletes, parents and guardians in problem resolution.
Interprets and counsels student athletes, parents/guardians and Athletics department staff regarding policies and procedures related to health insurance coverage. Educate coaches as to clearance of student athlete for practice/competition upon receipt of proper documentation regarding insurance coverage.
4. Other duties as assigned
Serve as SCU’s Athletics Health Care Administrator (AHCA) for the NCAA
Participates, as appointed, on NCAA, WCC, University and Athletic Department committees or designee.
Attend continuing education symposiums as required to maintain BOC certification.

Maintains contact with student-athletes and solicits feedback for improved services.
Maximizes productivity through use of appropriate tools; planned training and performance initiatives.
Researches and develops resources that create timely and efficient workflow. Prepares progress reports; informs supervisor of project status; and deviation from goals.
Ensures completeness, accuracy and timeliness of all operational functions. Prepares and submits reports as requested and required.
Develops and implements guidelines to support the functions of the unit.
E. QUALIFICATIONS

This position requires the ability to effectively establish and maintain cooperative working relationships within a diverse multicultural environment.

BOC, CPR and AED certification required.
Knowledge of FERPA, OSHA, and HIPPA bylaws.
Previous experience working in the sports medicine field for a Division 1 program preferred.
Familiarity of NCAA governing rules preferred.
