Brief Summary of Job Duties
The Athletic Certification Officer reports to the Assistant Registrar for Academic Services, and is responsible for one of the most sensitive functions of the Office of the Registrar. Determines student-athlete academic eligibility to compete in Intercollegiate Athletics (ICA), according to the rules and regulations of the NCAA Division I and UCSB Academic Senate. Evaluates, monitors, and tracks student-athlete academic eligibility each quarter to ensure progress towards degree and compliance rules are met.
Required Qualifications
Bachelor's degree or equivalent combination of knowledge and experience.
Experience in handling sensitive student records.
Working knowledge of policies, regulations, and practices with student record services.
Preferred Qualifications
Previous experience certifying or advising student athletes per NCAA regulations.
Previous experience tracking students’ progress-to-degree.
Working Knowledge of UCSB advising tools and software, such as AAA, degree audit, STAR, and/or SREG.

Job Functions/Percentage of Time/Duties
95% - Athletic Certification
Overview: Monitors and certifies student-athlete quarterly and cumulative academic eligibility to ensure compliance with NCAA Division I rules and regulations in conjunction with UCSB progress towards degree standards and minimum progress requirements. Exercises a high level of autonomy in determining the proper application of NCAA and Academic Senate regulations. Ongoing Eligibility Establishes and maintains an academic history record for each student-athlete to track progress in relation to NCAA eligibility standards. Processes NCAA transfer history reports. Notifies Athletic Director, ICA staff, academic advising staff, and student-athletes when ineligible for participation due to deficiencies in academic standing or continuous progress reasons; makes recommendations for resolution when appropriate. Monitors changes to student athlete status including withdrawal, drops, and other changes that may impact certification of eligibility. Liaises with various units on campus regarding academic policies and procedures. Compiles and analyzes data for eligibility reporting/rosters and prepares reports. Reporting to NCAA Compiles and updates data in the NCAA APP portal related to academic eligibility and certification for annual academic progress rate submission. Regulations and Policy Keeps abreast of changes in NCAA, Conference, UCSB curriculum, transfer articulation policies, articulated courses, and regulations. Updates and implements athletic certification procedures for ICA. Coordinates directly with NCAA Compliance Office to resolve issues regarding best practice, and the application of NCAA regulations. Documentation Develops and implements systematic procedures for documenting and maintaining records related to athletic eligibility certification. Initial Eligibility Evaluates transfer student-athletes for academic eligibility, including prospective student-athletes prior to enrollment at UCSB. Analyzes college transcripts and transfer coursework to determine equivalency in relation to UCSB courses and college requirements, working directly with the Office of Admissions and the college Deans' Offices.
5% - Other Duties as Assigned
Occasional travel to workshops and conferences. Assists with other office functions as assigned.
