The athletic operations and facilities coordinator supports the daily operations of the athletics department of by coordinating administrative functions, facility operations, transportation logistics, and financial processes. This position works collaboratively with campus departments, including human resources and the physical plant, as well as external vendors and contractors, to ensure efficient departmental operations and the effective management of athletic facilities and resources. This position involves a combination of office and outdoor work. Responsibilities include walking between athletic facilities, occasional lifting of equipment, and working evenings and weekends as necessary to support athletic events, facility operations, and special projects.
Responsibilities
Coordinate team transportation, including scheduling travel and managing logistics to support athletic team travel needs.
Oversee the maintenance, servicing, and operational readiness of the university’s athletics vehicle fleet.
Process and maintain purchase orders, invoices, and other financial transactions to support departmental purchasing and budget operations.
Support administrative functions by coordinating the Athletics Graduate Assistant Program, including onboarding and administrative oversight.
Assist with athletic staff personnel processes in collaboration with Human Resources, including hiring, onboarding, and employment documentation.
Assist in the oversight and scheduling of outdoor athletic facilities, including softball, soccer, baseball, and intramural fields, ensuring effective use and coordination of maintenance activities with the Physical Plant.
Coordinate facility rentals for athletic venues, including the fitness center, serving as the primary liaison for scheduling and operational logistics.
Manage special athletic facility projects as assigned by the Athletic Director, coordinating timelines, resources, and communication among the Physical Plant, athletic staff, vendors, and contractors.
Assist in planning and executing special athletic events, tournaments, and departmental functions by coordinating facilities, logistics, equipment, and operational support.
Collaborate with internal and external stakeholders to ensure the efficient operation of athletic facilities and departmental services.
Perform other duties as assigned by the Athletic Director to support the mission and goals of the Department of Athletics.
Qualifications
Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
Excellent written and verbal communication skills.
Ability to work collaboratively with faculty, staff, students, vendors, contractors, and campus partners.
Knowledge of administrative and financial processes, including purchase orders and budget tracking.
Ability to coordinate logistics for transportation, facilities, and special events.
Proficiency in Microsoft Office Suite and the ability to learn institutional software systems.
Strong attention to detail and problem-solving skills.
Must possess a positive attitude, supporting and encouraging all constituents (Within and outside) of CIU and the CIU Athletics Department
Ability to maintain confidentiality and exercise sound judgment..
Experience in athletics administration, facilities management, event operations, business administration, or a related field preferred.
Valid driver’s license with an acceptable driving record.
Ability to work occasional evenings and weekends in support of athletic events and departmental operations.
Bachelor’s degree required.
