Serve as the first point of contact for the Department of Intercollegiate Athletics, providing clerical and high-level administrative support to the Director of Athletics and Associate Directors. Direct visitors to appropriate staff members. Coordinate travel arrangements and travel expenses reimbursements, financial records, leave reporting, and credit card management for the Director of Athletics. Maintain/schedule for the Director of Athletics calendar. Function as a liaison between the Director of Athletics and other departments.
Bachelor’s degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.
Preferred Education/Experience:
Experience in intercollegiate athletics. Strong skills in Microsoft Office Suite and PeopleSoft.

Essential Duties/Responsibilities
:
Handle administrative duties, interpret administrative policies
Prepare purchase orders & other expenditures
Coordinate travel arrangements
Maintain calendars & schedule meetings for Director of Athletics and Associate Directors
Compose routine correspondence
Maintain and monitor financial records
Perform monthly financial account reconciliations
Prepare meeting minutes
Coordination for events and programs
Manage reception area
Respond to phone/walk-in/email inquiries
Maintain conference room schedule
Assist with annual staff orientation
Maintain office supplies and copier supplies
Assist with records disposal
Other duties as assigned by the Director of Athletics.
Must maintain a high degree of confidentiality on all sensitive information this position is privy to. Employee agrees to abide by the Code of Ethics as set forth by the University of Texas at Dallas and the University of Texas System. Has knowledge of all Microsoft Office software and be able to learn and use institutional software systems (i.e. PeopleSoft). Complies with all State and University policies.
Must possess and maintain a valid Texas driver’s license with an acceptable driving record at the time of hire.
Remote Work Notice:
After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the
DFW
Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
