General Function:

The Athletics Administrative Assistant provides administrative support to the Director of Athletics as well as operational support to the Athletics Department and the College’s twenty-four varsity teams.  The Athletics Administrative Assistant works to ensure efficient operation of the department while providing excellent customer service to internal and external constituents.  As a member of the Jewell Community, the Athletics Administrative Assistant is fully responsible for compliance with all College policies and procedures in addition to all applicable bylaws of the National Collegiate Athletic Association (NCAA) and the Great Lakes Valley Conference (GLVC). • Collaborate with other departments and offices on campus to support the mission of the College.
• Fully comply with all established College policies and procedures
• Provide administrative support to ensure efficient operation of the Athletics Department.
• Assist the Director of Athletics with budget management.
• Serve as the primary point of contact for the Athletics Department for external audiences including sales of tickets, apparel, or other items.
• Answer phone and direct phone calls.
• Organize and schedule appointments and meetings.
• Maintain contact lists.
• Write letters and emails on behalf of other department staff.
• Assist in the preparation of regularly scheduled reports.
• Develop and maintain filing systems.
• Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
• Provide general support to visitors.
• Coordinate office procedures.
• Coordinate game contracts with other institutions.
• Reply to email, telephone, or face to face inquiries.
• Other related duties as assigned

Knowledge, Skills and Abilities

• 3-5 years experience as an Administrative Assistant preferred.
• Excellent oral, written and interpersonal communication skills.
• Customer service oriented (experience desired but not required)
• Appreciation of intercollegiate athletics and its role in higher education

• Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams, OneDrive)

• An understanding of the unique opportunities and challenges in the environment of private higher education and a commitment to working with a diverse population.

Working Conditions

Traditional office environment as well as occasional indoor and outdoor athletics facilities.

Physically able to lift 25 pounds.
