POSITION OVERVIEW:
This is a part time position.Under the supervision of the Deputy Athletics Director, the Business Assistant will be responsible for the daily running of the Athletics and Recreation offices, including business operations for the department’s financial accounts and travel arrangements.
Duties include:
• Develop, implement, and oversee the daily functions of the office.
• Monitor the accounts payable function of the Student Activities Association, Auxiliary, and Foundation budgets, including processing requisitions, receipts, and check requests.
• Maintain all accounts payable documents in an organized manner, including quotes, purchase orders, receipts, vouchers.
• Manage vendor registration process in coordination with the business office.
• Make all payments to game day contractors and officials through ArbiterPay or relevant payment system.
• Coordinate travel arrangements for team travel and staff/coaches' travel.
• Assist the Deputy Athletics Director with tracking and auditing of all fiscal accounts. Maintain excellent records and accurate spreadsheets.
• Assist the Deputy Athletics Director with the annual EADA and NCAA Financial Reports; Produce monthly, quarterly, and annual internal financial reports.
• Assist with reconciling the department credit cards.
• Support human resources on-boarding, including EHRAFs, timesheets, and quarterly personnel expense reconciliations.
• Ensure that all staff and coaches have appropriate and updated certifications on file.
• Monitor the accounts receivable function of the Auxiliary Services Corps and Foundation budgets (primarily, rentals, memberships, and donations); Assist with invoice creation and draft rental revenue projections as needed.
• Create invoices for missing equipment inventory.
• Participate in staff meetings and professional training as appropriate.
• Hire, train, supervise, and help evaluate all office Federal Work Study students.
• Engage in active listening with constituents to build relationships, understand each individual’s goals and take the initiative to assist in the achievement of those goals.
• Model professionalism and communicate effectively: exude integrity; inspire others; exhibit effective level of verbal and written communication; promote and represent the mission and core values of the John Jay Department of Athletics.
• Adhere to all NCAA, CUNY and John Jay policies and procedures.
• All other duties as assigned or needed.
Strong attention to detail and organizational skills

2 -5 years' experience in office and business management.
Bachelor’s Degree, preferably in accounting or business-related majors.

This is a part-time position of up to 20 hours per week, scheduling of the days can be worked out.
Hourly rate range is $22 - $25 per hour commensurate with experience. Appointment is on a per semester basis and subject to budgetary and renewal approval.
