This position is responsible for the management of areas and programs related to athletics facility scheduling, equipment, uniforms, game day, and transportation operations within the University’s Athletics Department. This position reports to the Assistant Athletic Director, Facilities & Game Operations.
General Duties
Manage department facility scheduling; including home team, visiting team, external clients in conjunction with academics to ensure proper scheduling around class schedules.
Engage in critical analyses of assigned areas and programs to identify, address, resolve, and prevent substantial issues, which may span multiple areas, using advanced technical and professional knowledge.
Enforce policies and processes to improve efficiencies, effectiveness, and communications in assigned areas. Support development and improvements to policies and processes.
Interpret and implement applicable University policies; oversee the implementation of policies and practices in assigned areas and programs.
Coordinate relevant relationships internal and external to the University.
Coordinate the work of and provide guidance to other staff employees and contractors.
Supervise student employees as assigned, including overseeing all aspects of hiring, expectation setting, mentoring, work assignments, performance management and evaluations, and disciplinary processes.
Responsible for audit processes to ensure that non- University athletics camps are compliant with the University’s contractual requirements.
May manage financial processes and development/oversight of budgets as assigned.
May provide advice to internal and external constituencies and/or organizations; may act as subject matter expert in a specialized field.
May gather data, analyze data, and make reports.
May evaluate and make recommendations about resources options and vendors.
Duties Related to Athletics Scheduling
Oversee and implement policies and processes related to facility scheduling and planning.
In conjunction with academics, coaching staffs, UP events staff and Athletic event staff maintain accurate schedules and calendars on a daily basis.
In conjunction with relevant University/Athletics Department colleague(s), manage campus
EMS
for all Athletics Department teams.
Provide oversight and recommendations to coaches/staff regarding locations available for use.
Maintain effective relationships with Events representatives and the planning liaisons for all Athletics Department teams.
Duties Related to Game Day and Event Management
In partnership with supervisor and other relevant University/Athletics Department colleague(s), serve as lead game manager for assigned sports (women’s soccer, women’s basketball and baseball) and events, including athletics team events and other campus and non-campus events.
During game days and events, coordinate and provide guidance to student staff, public safety personnel, physical plant personnel, security vendors, ushers, game staff, officials and the like.
Duties Related to Transportation Fleet Management
Under direction of relevant Athletics Department manager(s), responsible for management of Athletic Department ground transportation fleet.
Responsible for keeping and accurate daily schedule of fleet needs.
Responsible for vehicle maintenance calendar and scheduling related to local and pickups and non-local competition trips.
Transport and drive vehicles as needed to manage fleet.
Other duties as relevant to the duties of the position or as assigned by supervisor or designee.

Required: Bachelor’s degree and two years of relevant experience.
Preferred: Master’s degree in relevant area.
Preferred: prior experience working in collegiate athletics department.
Or a combination of equivalent education and/or experience.
Required: Valid driver’s license.
Preferred:
CPR
certification, first aid certification.

NCAA
rules and regulations or ability to be trained therein.

Effective ability to use and learn computers, technology, software, and applications at level of sophistication required for the duties of the position, including, without limitation, Microsoft Office (Outlook, Word, Excel, and PowerPoint), the internet, and computerized maintenance management systems.
All University of Portland positions require the ability to quickly learn and use new technologies, software, and applications in depth and at level of proficiency required for duties of the position. In most situations, the necessity of learning, using, and supporting new technologies, software, and/or applications does not change a job description nor make the position one that involves higher level duties.
