| Job Summary / Basic Function |
Job Duties Include:
The Business Director for Athletics reports directly to the Director of Athletics. This is a professional level administrative director position for the financial operations and outside income earned by the Athletic Department. Assists the Director of Athletics in the implementation and monitoring of fiscal policies and procedures of E&G, scholarship, and those relating to the outside income earned by the Athletic Department and its staff, and athletic-related fundraising boards including the creation and maintenance of Marketplace or other fundraising software for events.
Responsible for monitoring the fiscal aspects of all athletic fundraising endeavors, including proper handling of money, compliance with NCAA and University fundraising policies and overseeing the proper record keeping for fiscal accountability; including invoices and credit card processing. Assists with planning and coordination of athletic department fundraising events such as Hall of Fame, Day of Giving, etc.
Processes and reviews all expenditure requests, fees for officials/referees for all Edinboro athletic competitions, invoices, and direct pay forms to ensure there is sufficient budget in each account before submitting to the Athletic Director for approval. After approved, enters the required information in SAP for expenditure requests and processes budgets and paperwork.
Monitors financial transactions related to athletic budgets for all athletic accounts and notifies the Accounting Department monthly of any discrepancies. This includes ensuring that all payments have been made to venders, no errors have been made in the accounting process and provides head coaches, sports medicine and sports information offices with an accurate end of month balance in each area of the accounts (postage, travel, recruiting, team travel, equipment, officials, etc.)
Reconciles all purchasing credit card statements and receipts for all sports and administration accounts on a monthly basis. Report any errors to the Accounting Department.
Provides head coaches with quarterly (monthly when possible) fundraising reports to include donor, amount donated, and area donation was made.
Assists the Controller’s office in compiling data and supplying information to outside auditors as well as President’s auditor upon request. Implements fiscal policies and mandates as directed by both internal and external auditors as well as by the Vice President for Finance and Administration.
Assists athletics with special athletic events such as PSAC and NCAA Championship Events, etc.
Develops, updates, and oversees policies and procedures for fundraising to ensure compliance with NCAA and University policies.
Provides Annual Athletic Business Office Financial Reports to the Athletic Director. Submits financial documentation for the Annual EADA and NCAA Reports, PSAC and NCAA Championship Reports, Athletic Business Office Annual Budget, and Coaches Annual Fundraising.
Provides Camps and Conferences financial reports for internal camps. Acquires camp financial reports from Camps and Conferences for internal and athletic related external camps and prepares a summary report for the Athletic Director as needed.
Serves on outside athletic-related boards, such as Kim Clark Scholarship and Curly Halmi Scholarship Boards. Serves as the fundraising coordinator for all events initiated by these boards and maintains NCAA compliance with these groups.
Assists Associate AD with scholarship/endowment spending, and advises coaches on their athletic scholarship budgets.
Prepares financial reports and data for the Athletic Director and/or as requested by Campus Administrator and/or VP over PennWest Athletics.
Serves on the Selection Committee for the Annual Athletic Endowed Scholarships.
Assist Associate AD with athletic scholarship renewal contracts and athletic financial aid tracking, including maintaining budgets, records and coordination with Financial Aid in compliance with University and NCAA rules.
Attends all weekly administrative meetings and all athletic department meetings.
Assists the Fiscal Assistant for submitting deposits and deposit reports from income generated to the Student Accounts office and the University Advancement Office. Also submits deposits to SGA Office for SAAC community service fundraising.
Responsible for monitoring, recording and reporting the Athletic Department community service efforts.
Responsible for updating, data entry and reporting from University Advancement fundraising software and coordinating periodic data syncing with ARMS software. This includes online registrations and credit card use for events.
