Job Summary

The BYU Athletics Administrative Assistant will assist their assigned teams in all aspects of administrative operations.

What You'd Be Responsible For

Administrative Support for Assigned Teams

• Travel, including coordinating travel plans for assigned teams and coaching staff (hotels, flights, cars, etc.)
• Determine and distribute per diem
• Initiate payment for team entry fees
• Organize hotel rooming assignments
• Generate a travel itinerary for each team travel event
• Compile and reconcile all receipts and expenditures for travel
• Process travel reimbursements
• Create expense reports
• Record keeping
• Coordinate and manage schedules, calendars and appointments for coaches and assistant coaches as needed
• Create and maintain current student athlete database (approx. 80 files) and individual athlete files
• Create and maintain current athlete rosters for reconciling and distribution to various department personnel
• Create and distribute team schedules
• Prepare and distribute athlete training plans as determined by coach
• Assist in organizing home events as needed
• Assist coaches and weekly national committee correspondence and reports
• Handle special assistance forms, review options with individual student-athletes and work with the athletes of all assigned teams

Recruiting Assistance

• Meet with coaches weekly to update recruiting logs
• Create and maintain recruiting files and databases for NCAA compliance and audits
• Initiate and confirm arrangements for prospective athletes¿ travel including air, hotel, meals and hosting
• Create and distribute itineraries for campus recruiting visits
• Initiate and process clearance and other recruiting forms for WCC and NCAA compliance requirements
• Prepare National Letter-of-Intent forms

Special Projects

• Plan and coordinate team banquets as needed
• Assist games manager and athletic directors with championship hosting when awarded to BYU
• Assist with meet/game/match preparation and execution
• Coordinate judges and officials as needed
• Other duties as assigned

What Qualifies You to Apply?

Required:

-2 years office experience or equivalent years of post-high school education

• All new employees who are members of The Church of Jesus Christ of Latter-day Saints will be required to hold and be worthy to hold a current temple recommend, which may be verified during the application process

Preferred:

-Bachelor's degree and 5 years related experience
