While working independently and exercising good judgment and discretion; The Charter Coordinator is responsible for the planning, scheduling and all other processes of Charter Services.
As Essential Personnel you are expected to be available in the event of school closings, delays, shutdowns and any emergencies including clean up required because of severe weather incidents. Performs snow removal activities as assigned, such as shoveling, salting, etc. Maintenance personnel are essential to the overall success of Commencement (May) and Orientation and Move-in (August) weekend events and special events that are scheduled in facilities throughout the year and must be available to work scheduled and unscheduled hours as emergency needs arise.
Reports to work at the required time and performs duties as assigned by the Director of Transit Dept.
Must be familiar with the standard concepts, practices, and procedures of the Transit Department.
Ensure that drivers follow established safety driving procedures and techniques to perform and complete assigned chartered trips to ensure that they and all passengers are safe
Responsible for picking up and dropping off passengers at designated locations.
Receives and processes requests for charter service including but not limited to quotation of charter rates, preparation of charter/ rental invoices and daily charter dispatch log.
Responsible for the planning and scheduling of charter trips for the LU Athletics department and other departments.
Responsible for informing the Director of Transit of any driver complaints or issues.
Assigns buses and drivers for the days charter activities using the locations charter assignment process ensuring all DOT regulations and requirements are met.
Communicates Company standards regarding uniforms and customer service to driver employees.
Communicates with dispatcher(s) regarding any bus needs/ changes to accommodate outside charter activity for the next day.
Responsible for assignment of buses and drivers that shall be done in a manner that most efficiently covers the day’s activity with special attention to costs related to overtime.
Prepares charter tickets to include specific directions and maps. Throughly briefs drivers on the specifics of each trip prior to leaving the terminal to ensure quality, om-time service to customers. Must be available on the radio and at the dispatch counter to assist with any questions regarding charter trips.
Responsible for monitoring all charter activity and adjusts as necessary to avoid conflict with route schedules. Communicates any delays or changes to customers.
Receives completed charter tickets from the drivers no later than the following day and ensures that all necessary information for billing is recorded by the driver. Verifies driver time and initials driver timesheet.
Completes final billing of all charter and rental invoices. Maintains daily receipts log to record charter payments received at the location and once completed shall forward cash payments to the appropriate lock box address. Follows up on all accounts receivable and notifies the Director of Transit of any delinquent accounts.
Maintains accurate logs of all charter revenues and expenses and provide a listing of each to the Director of Transit.
Completes weekly charter reports as required.
Performs clerical assignments as needed.
Performs other duties as assigned.
Responsible for wearing the appropriate Personal Protective Equipment (PPE) while completing the job duties and responsibilities of the Transit craft. Including but not limited to; protective eye wear, ear protection, hard hat, gloves, steel-toed boots, respirators/ masks, reflective safety vests, and sunscreen.
Responsible for wearing a harness with a lanyard and other PPE if operating aerial lifts to perform & complete assigned jobs.
In down periods you will be reassigned to work in other areas such as grounds, maintenance, custodial, and transportation, as determined by the FMD management.
Any other duties as assigned.
Remains abreast of existing and emerging technologies, processes, products, services and leading industry performance benchmarks.
Works effectively as a team member, embracing and fostering LU’s mission.
This position is responsible for 10+ Charter Department Staff.
A high school diploma or GED and minimum of 5+ years of related experience in managing staff in the Transit field. Bachelor's degree preferred. Knowledge and experience of methods and techniques of transit compliance reports, and training requirements. Knowledge of all FMCSA rules and regulations. Current/ Valid VA Driver’s license with a positive DMV report. Must have a class B commercial driver’s license (CDL) and complete a training program. Bus operators must also meet hearing and vision requirements. All bus operators must have a passenger endorsement and air brakes endorsement on their CDL.
Effective communication both verbally and in writing. Ability to intuitively reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature. Strong organizational and computer skills. Must be able to work weekends, holidays, and flexible daily/evening hours. Regularly required to lift 50+ pounds. Must have proof of a valid Virginia driver's license, an acceptable DMV record, and liability insurance is required as periodic driving of university vehicles may be required for travel in the performance of the essential functions of this position. Certifications obtained while employed by Liberty University at the expense of the employer will be reimbursed back to the University upon voluntary termination (resignation) for the first 12 months after acquiring it.
