The Academic Services Analyst will serve a supportive role to facilitate transfer credit evaluation and articulation processes and to assist with continuing student athlete eligibility in compliance with the National Collegiate Athletic Association (NCAA) and conference rules. Successful applicants have experience interpreting student academic data; earned literacy with complex data systems and technology; possess an ability to interpret and adhere to, Federal, state and intercollegiate athletic regulations; can demonstrate effective project management; ability to maintain essential partnerships with key stakeholders; and will contribute to a forward-thinking, motivated team. There are two Academic Service Analyst position openings and both report to an Assistant Registrar of Academic Services.
Primary or Secondary Responsibilities: Transfer Credit Evaluation and Articulation: Execute transfer credit evaluation processes and workflows that ease the enrollment process for prospective domestic/international students transferring to the University of Utah. Maintain transfer course data in transfer data systems Collaborate with campus stakeholders to process transfer credit articulations. Serve as a helpful resource to university faculty, staff, and students regarding transfer credit issues. Create and maintain business processes, training documentation, and public-facing website content to educate campus partners about the university’s transfer process. Be future-oriented, seeking out, suggesting, and helping implement best practices in transfer student services and credit evaluation. Other transfer evaluation and articulation duties as assigned. Athletic Certification and Eligibility: Supports the Assistant Registrar with processes related to student athlete NCAA and conference compliance at the University of Utah. Routinely review student athlete academic data to verify eligibility in compliance with the NCAA. Generate bi-annual complex reports required by the NCAA. Ensure data systems are up-to-date and accurate with student athlete information. Coordinate and participate in evaluation and eligibility processes with Academic units and Athletic Department staff via regular meetings and ad hoc meetings (example: post-season Bowl game certifications). Serve as a helpful resource for compliance staff with University of Utah Athletics. Other athletic certification and eligibility duties as assigned. Collective Duties: Manages simultaneous projects in a fast-paced environment. Monitors workflow and provides recommendations to the Assistant Registrar of Academic Services to ensure work is distributed evenly and completed in a timely manner. Utilizes complex data systems simultaneously in order to generate reports and carry out departmental functions in a team setting. Abides by the federal policies established by the Family Educational Rights and Privacy Act (FERPA). Maintains an open feedback loop with other Office of the Registrar managers and team leads about emerging service challenges, opportunities, and works collaboratively on process improvements; this position responds to changing business needs in a fast-paced office environment. Seek new technologies/processes for continual improvement of services. Provides backup coverage for office services on an as-needed basis. Other duties as assigned.
Bachelor’s degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.
Department Specific Preferences: Excellent organizational, and analytical skills are essential along with the ability to effectively communicate orally and in writing to various constituencies. Must be able to work across institutional departments, demonstrate success in prior positions, and exhibit a proven commitment to diversity. A strong understanding of current laws, regulations, and procedures as related to academic record keeping is required.
