Job Description

With minimal direction, administers and controls the business operations functions in the Sun Devil Athletics Football Program. Promotes Intercollegiate Athletics as an integral part of the University. Reports to the Assistant Athletic Director of Football. Adheres to NCAA and Conference rules and regulations, as well as to the policies of the department, the University and the AZ Board of Regents.

Essential Duties

Business Functions:

• Enter day-to-day expenses into ARMS
• Reconcile P-card on a monthly basis
• Pay all general and foundation football expenses
• Prepare meal money forms for pre-season football camp and vacation meal money for student athletes and distribute to players
• Request money and prepare per diem envelopes for football travel squad, coaches and staff
• Process occasional meal forms and expenditures Recruiting:
• Make travel arrangements and process all travel claims for coaching staff
• Prepare all compliance-related documentation for official visits
• Prepare travel authorizations for recruiting weekends
• Request and obtain host money
• Book hotel rooms/flight reservations for official visits and families
• Process post-visit expenses
• Prepare all complimentary admission lists for recruits for all home games
• Input, maintain and update all recruit information into database
• Process and track all high school coaches ticket requests Team Travel/Events:
• Assist with travel for Camp Tontozona
• Handle rooming list for home and away travel
• Reconcile hotel bill after each game
• Help coaches with tickets for away games
• Book emergency player travel
• Assist with spring game and golf tournament such as RSVP’s and registration
• Assist with Football Banquet and Senior Day
• Assist with football camp, passing leagues and coaching clinics including data entry for skill testing and registration Other General Duties:
• Answer phones (as needed) and direct calls appropriately and/or provide general information to inquiries
• Order all office and copy machine supplies
• Sort incoming/outgoing mail
• Assist with Head Coach’s calendar and correspondence
• Maintain CARA logs for Compliance Office
• May oversee student workers

Minimum Qualifications

Bachelor's degree in a related field and six (6) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Ten (10) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

• Customer service and relationship building skills
• Skill in coordinating activities and establishing priorities

Working Environment

• Activities are performed in an environmentally controlled setting and/or outdoors in varying weather conditions and subject to extended periods of sitting/standing, keyboarding and manipulating a computer mouse; will stand for varying lengths of time and walk moderate distances to perform duties
• Activities will require ability to change priorities, which may include and/or are subject to resolution of conflicts.
• Clearly communicate verbally to perform essential functions
• Schedule is to be decided; may include early mornings, evenings and weekends and holidays.
