Duties and Responsibilities (* denotes essential functions):
*Under the general direction of the Head Football Coach, the Football General Manager is the Assistant to the Football Chief of Staff providing administrative support for the Football Program; Assists with the NCAA Division I Football Bowl Subdivision recruiting and personnel program; serves as the assistant to the Chief of Staff, and assists the Head Football Coach with day to day tasks.
*Provides day-to-day administrative work of broad scope and significant complexity under the general direction of the Head Football Coach and the Football Chief of Staff
*Assists the Football Chief of Staff with directing the daily operations and recruiting of the Football Office.
*Assists the Football Chief of Staff with travel arrangements for all away games.
*Oversees all player personnel and recruiting department staff and operations for the Football Office.
*Assists the coaches in the recruitment and admission process and ensures required documents are submitted to appropriate offices including campus tours, game day visits, and National Letter of Intent process. Updates coaches on scholarship counts from Athletics’ Student Affairs.
*Serves as the football program’s liaison to Student-Athlete Academic Services (SAAS). Works collaboratively with SAAS football academic advisors in the recruitment and admission process with prospective student-athletes (PSA) including the evaluation of academic credentials and preparedness for college work. Ensures PSA’s required documents are provided to appropriate departments to assess transferrable and applicable credits.
*Assists incoming/new student-athletes in completing and submitting all necessary forms and documents as required by various departments.
*Oversees recruiting boards and rankings are up-to-date, with offers, grades, and visits.
*Oversees accuracy of scholarship count of student-athletes on the team and how many initials the program has. Keeps track of the Academic Progress Rate (APR) for the football program and sees if other student-athletes need additional assistance to graduate.
*Assists Football Chief of Staff with determining recruiting services.
*Creates and implements the mailing plan for mass mailings.
*Keeps coaches informed on the various recruiting periods (i.e. dead, quiet, evaluation and contact periods). Plans and creates a calendar for dates that coaches are on the road. Coordinates itineraries for spring recruiting and monitor their whereabouts daily. Coordinates and monitors position coach and head coach home visits during recruiting.
*Monitors all recruiting websites daily and shares all recruiting related articles for file and coaches.
*Official Visits: Assists Football Chief of Staff with making all arrangements for recruiting weekends which include NCAA compliance paperwork, travel accommodations, entertainment allowance, official visit itinerary, and schedules appointments with various UH personnel.
*Unofficial Visits: Assists Football Chief of Staff with making an itinerary.
*Game Day Visits: Assists Football Chief of Staff with overseeing the entire process which includes formulating the recruiting list, supervising the prospects and making sure that prospects meet coaches. Provides prospects tour of stadium, field, and locker room and opportunity to interact with coaches and student-athletes.
*Assists with the coordination of the Letter of Intent process. Works with the Compliance Office to ensure all NCAA forms and required information is provided to send the Official Letter of Intent to the prospective student-athlete.
*Junior Day: Assists the Football Chief of Staff with coordinating visits to campus for orientation of high school Junior prospects including but not limited to campus tour, briefing with academic advisers, meetings with coaching staff and strength and conditioning staff.
*Works closely with the coaches, student-athletes, and fifth year students in coordinating with Compliance, Student Affairs, and Student-Athlete Development to ensure the appropriate support services are delivered for the student-athletes and the necessary information and documents are completed and submitted for eligibility, scholarships, financial aid, community service, recognition and awards, housing and meals, training tables, and life skills.
*Academic Liaison: Meets weekly and works closely with academic advisors as to the academic progress of each student-athlete and keeps the coaching staff informed. Ensures effective communications within the football program regarding programs and activities to ensure the academic success of the student-athlete. Promotes, monitors, and implements the academic support activities as set by the Academic Improvement Plan including developing, implementing, and monitoring a program to ensure class attendance. Assists in implementing the Football Academic Performance Plan, including keeping the program updated as to the Academic Progress Rate (APR) and Graduation Success Rate (GSR).
*Participates in promotional and public relation activities for the program.
*Oversees all player onboarding: admissions, scholarships, housing, medical documents, physicals, equipment, etc.
*Organizes and executes the Head Coach’s plan for professional and life skills development.
*Serves as the alumni relations liaison.
*Serves as the NFL/Pro Liaison. Assists the Football Chief of Staff and Head Football Coach with organizing scouts attending practices, games on the road, and organize Pro Day for draft eligible players
*Works outside of normal business hours including nights, weekends and/or holidays as required for activities and events.
*Travels with team to various geographical locations and/or provides transport as needed.
*Maintains collaborative working relationships with administrators and coaches in the department, other college offices, and appropriate relationships with members of the media, donors, and other individuals interested in the Athletics Department.
*Maintains confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and University of Hawaii policies.
*Knows, recognizes, and complies with the laws, policies, rules, and regulations governing the University of Hawaii and its employees, and the rules of the NCAA and affiliated conferences as now constituted or as may be amended in the future. Immediately advises the Director of Athletics or designee if there is reasonable cause to believe violations, whether by employees or students, have occurred or will occur.

Minimum Qualifications
Possession of a baccalaureate degree in business administration, arts and sciences, humanities, social sciences, natural sciences, education or related field and three (3) years of progressively responsible professional experience with responsibilities for program management in intercollegiate athletics including but not limited to NCAA compliance, recruiting and academic support; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with administration as it relates to intercollegiate athletics administration.
Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
Demonstrated ability to operate a personal computer and apply word processing and spreadsheet software.
