Overview
The Gift Processing Associate provides high level gift processing support to the Finance team and is responsible for the
day-to-day recording, electronic filing, and processing of contributions and ensuring gifts are promptly and accurately
entered into the gift database (Paciolan).
Responsibilities
• Serves as primary data entry operator for all gift batches to include pledges, auto pledges, checks, credit cards,
stock and transferred funds
• Verify, track, and enter matching gifts
• Receive stock notifications from brokers and calculate and record stock gifts.

• Communicate with donors as it relates to gift processing and research donor activity/history
• Record transactions as received daily from UVA and file those received in error in AP folder with original receipt
Investigate gifts for missing information

• Responsible for overseeing accurate electronic filing and organization of all batches.
• Coordinate priority point updates and beginning of year updates with Paciolan. Perform manual updates and
calculations as needed. Setup new drive years and allocations. Weekly points calculations and an understanding
thereof
• Maintain donor auto payment system and auto pledges
• Develop an understanding of database back office. Work with Paciolan on gift entry processes
• Track funds received in error and prepare for return to payee or to correct university entity.
• Code Paciolan for weekly acknowledgement letters
• Maintain PCI compliance on all credit card information and confidentiality of all donor information
• Provide general administrative support to assigned associate director
• Provide backup phone support to Receptionist as needed
• Stay informed on the details of VAF special events, athletic contests, parking, etc.
Qualifications
Intermediate proficiency and knowledge of working with databases
• Experience in gift processing
•
• Ability to be highly efficient, detail-oriented, organized, and accurate in work
• Commitment to maintaining confidentiality of sensitive information
• Provide strong customer service skills, friendly and professional phone demeanor
• The incumbent must have the ability to work in a fast-paced and dynamic fun environment
• 4-year college degree preferred or commensurate experience
• Demonstrates adaptability
• Ability to self-review and assess work for reasonability
• Proficient in Microsoft Office Suite; Intermediate Microsoft Excel skills
• Enjoy watching & attending sporting events highly recommended
