Summary:
Reporting to the Director of Athletics, the Head Men’s Volleyball Coach (Athletics Operations Coordinator) manages and oversees the operational systems, processes, and policies in support of organizations, supports better management reporting, information flow and management, business process and organizational planning.
Job Description:
Administers, manages, and leads the Men’s Volleyball Program in such a manner that reflects positively on the image and reputation of the University at all times, in accordance with the University’s mission.
Organizes and conducts all Men’s Volleyball practice sessions; teaches the mechanics and techniques to the Men’s Volleyball players; and ensures that steps are taken to reduce the risks of injury.
Develops and disseminates rules related to the expected conduct of Men’s Volleyball players when they are representing Gallaudet University, both on and off campus.
Develops Men’s Volleyball program event schedules and manages the program budget; contacts Division III colleges and universities to coordinate the varsity sports calendar; arranges transportation, meals, lodging, etc., for officials; and confirms schedules with all related parties.
Serves as an advocate of issues important to female and male student-athletes, coaches and staff, serves as a role model and resource for students, coaches and administrator, recruits and hires of key department and/or institutional personnel, monitors implementation of gender-equity plan, reviewer of the Equity in Athletics Disclosure Act Report.
Provides logistical support for all aspects of the athletic and intramural programs and events; assists with all activities and events hosted by the department; performs administrative duties requiring a thorough knowledge of University policies and procedures and the objectives of the Department of Athletics and Intramurals; and exercises high degree of tact, independent judgment, and personal initiative.
Assists the Director with managing the overall athletics program; advises on decision-making; prioritizes matters requiring the attention of the Director; and consults with other staff and departmental personnel to share/obtain information.
Coordinates the workflow for the office; and establishes priorities and timelines per directives from the Director for efficient office operations.
Oversees the planning and logistical needs for the annual sports banquet, awards ceremony, Hall of Fame ceremony, tournaments, and other special events, for all sports programs throughout the year.
Supports the Director with the hiring of athletic staff, part time coaches, graduate assistants, and student workers; prepares the personal action forms and/or students’ payroll forms; monitors and coordinates the processing of staff personnel actions; and assures that personnel actions are in compliance with policy and procedural guideline and with administrative deadlines.
Provides high-level support for the University’s long-range strategic planning process such as Student Learning Outcomes and MSCHE; and serves as the assessment coordinator for Athletics and Intramurals utilizing WEAVE (an online assessment management system used to manage our planning and assessment processes) and provides reports as needed.
Supports the Director in monitoring all sports programs to ensure compliance to NCAA and Title IX policies; oversees gender equity aspects; assists with ensuring that all programs adhere to NCAA, UEC, and ECFC guidelines and procedures; and communicates concerns or issues regarding such to the Director.
Supports the Director with maintaining budget records to aid in budget control; collects data as necessary; prepares yearly budget reports for the Director; maintains budget records; coordinates and generates necessary paperwork for financial activities of the department and its various programs; and assists the Director with maintaining and updating NCAA annual reports.
Meets regularly with the Director to provide and secure information regarding tasks to be undertaken and the overall operations of the office, and maintains communication on follow-up items regarding work requests and scheduled appointments; maintains the Director’s daily calendar of appointments; prepares daily and weekly reminders (agendas, meeting schedules, athletic events, etc.) of matters requiring the Director’s attention; and organizes and expedites schedule and commitments.
Responds accurately and appropriately to inquiries to the office regarding activities, operations, policies, and procedures of the Athletic Department, and demonstrates knowledge regarding policies and procedures of the University and the ability to assist and refer people, appropriately, who seek information.
Coordinates logistics for all transportation and travel for the Athletic staff for away games and other travel purposes; arranges hotel accommodations, airline reservations, charter bus services, meals, registration and entry fees for the same; prepares itineraries, travel orders and travel vouchers; arranges interpreters for out of town meetings, coaching clinics and workshops, etc., as necessary; and serves on call 24/7 in the event of an emergency, i.e., charter bus doesn’t show up.
Uses judgment and discretion in screening student-athletes, coaches, staff, faculty and visitors in a professional manner, exercising a consistently high level of human relations skills.
Supports the Director to ensure that the schedules of all athletic contests are reviewed and entered in the scheduling program and issues all athletic contracts.
Maintains payroll data information and manages the e-time payroll system for part time staff and student workers in the Athletics and Intramural Programs; verifies the bi-weekly payroll register and maintains leave records; and communicates key issues surrounding payroll procedures or concerns with the Director.
Opens, reviews and prioritizes mail for the Director; uses discretion in directing letters and other correspondence to appropriate parties; and prepares typed correspondence and drafts responses for signature of the Director.
Inventories and orders supplies, materials, equipment, and services needed for the department; prepares purchase orders, interdepartmental invoices, and check requests; follows up on all purchase orders including the Athletic contract to ensure payments are processed in a timely manner; and initiates purchase orders and bids in accordance with budgetary limitations and university policies.
Gathers information for and types a variety of materials including correspondence, forms, reports, tables, memos, pamphlets, brochures; formats tables, graphs, charts, and reports, as necessary, to produce professional quality manuscripts; and updates manuals and proofreads all materials.
Supervises and evaluates the work of assistant coaches and other staff.
Monitors the academic progress of men's volleyball players through communication and collaboration with the units of Academic Advising, Tutorial Center, and General Studies as well as through individual meetings with student-athletes.
Maintains and supports the integrity of Gallaudet University and its athletic programs which student-athletes represent.
Monitors, enforces, observes, communicates and supports the University’s academic standards, requirements and policies, including working with Admissions, Financial Aid, and other academic and support services offices for men's volleyball players.
Works with the Sports Information Director regarding development of and reporting of information related to team roster, schedule, and results from the previous year and current season outlook.
Monitors and ensures institutional compliance with policies and procedures of the NCAA and UEC in all aspects surrounding the coaching of a team and actions as a member of the Athletics Department.
Abides by NCAA and United East rules as they apply to training teams and individuals-in season and during the summer.
Establishes and maintains a positive and supportive working relationship with co-workers and supervisors.
Demonstrates a genuine commitment to diversity, equity and inclusion in the workplace and participates in activities and workshops to foster continuous learning.
Serves as a mandatory reporter under Title IX; and commits to completing Title IX training and other compliance requirements on an annual basis.

Bachelor’s degree.
A minimum of four years of professional experience with coaching, athletics management, or related fields.

Master’s degree.
Experience with volleyball coaching.

Ability to communicate in American Sign Language.
