Job Description:
The Office Assistant 1 in Athletics & Recreation/Facilities Services will perform a variety of administrative and support tasks crucial to the efficient operation of the departments. This role involves acting as a receptionist, handling inquiries from faculty, staff, students, and the public about athletic and recreational programs and facilities. The role requires proficiency in MS Office and GSuite, a keen attention to detail, and the ability to manage multiple priorities in a dynamic office environment.
Key responsibilities include supervising work study and temporary student staff, preparing and verifying paperwork for timely payments, and assisting with payroll and purchasing tasks. The Office Assistant 1 will also order supplies, track income from facility rentals, prepare memos, schedule meetings, manage records, and maintain work orders. Additionally, the role involves general officeduties such as filing, sorting mail, faxing, and managing personnel information. The assistant will handle procurement card transactions, reconcile monthly purchases, and ensure accurate record-keeping for accounts and vendors.
Office Assistant 1'sperform office support and clerical work to meet the requirements of agency programs. Such work may consist of, but is not limited to: data entry; math or calculations; mail, supply, and inventory-related tasks; keyboarding and other document preparation tasks; answering telephones; completing forms; assisting customers; creating or assisting in the preparation of reports, charts, graphs, and tables; and other related activities. This work is accomplished in accordance with applicable procedures, rules, regulations, and laws.
Office Assistants 1 perform entry-level clerical and office support work, including processing transactions and maintaining records in a variety of organizational settings. Any given assignment may encompass a broad or narrow range of activities. Office Assistant 1 is a non-supervisory class found at nearly all State agencies.
Requirements:
There are no minimum education or experience requirements for the title of Office Assistant 1.
Appointments and promotions in the New York State Civil Service are made according to principles of "merit and fitness" as mandated by the New York State Constitution.
This position is part of theNew York Hiring for Emergency Limited Placement Statewide (NYHELPS)program. For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required.

Additional Information:
The hiring salary for an Office Assistant 1,SG06 is $35,177annually. This is a full-time, 12-month, probationary/permanent, day shift, CSEA represented position. Hours to be determined at time of appointment.
