Department Specific Responsibilities

• Manages and oversees procurement to ensure compliance with IU policies and procedures.
• Prepares purchase orders for all Athletics' goods and services procured by the department. 
• Audits all requisition requests to ensure each request has the appropriate supporting documentation.  Ensures each requisition is charged to the correct account and object code and
• Works with the requestor to reconcile and correct any discrepancies. 
• Ensures all requisition requests fall within the budget of the requesting department.
• Responds to inquiries regarding financial and/or invoice procedures; takes the lead on cases within their scope of work.
• Collects data and prepares reports/analyses as needed. Prepares, reviews, and provides interpretation of reports to managers.
• Reconciles monthly p-card statements.
• Provides guidance to the department on any process improvement opportunities.

General Responsibilities

• Under limited supervision, performs routine and ad hoc administrative tasks in support of the procurement function, administering the transactions associated with obtaining goods and services for the university.
• Serves as an informational resource for department or other departments in identifying appropriate vendors and suppliers.
• Responds to employee inquiries and requests and explains policies and procedures.
• Monitors procurement processes and communicates issues with supervisor to inform decisions.
• Oversees inventory of necessary items and coordinates reorder, inventory receipt, and/or returns as needed.
• Prepares reports to monitor outstanding procurement documents and payments.
• May take on more advanced, non-routine tasks that may require analysis.

This position is posted at the Mastery Career Level , but may be filled at the Intermediate Career Level depending on the candidate's qualifications.  Although they will be similar, the duties and responsibilities may differ if filled at the lower rank.  Please see the qualifications for each level listed below.

Working Conditions / Demands

 

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
