This is a support person for the Department of Intercollegiate Athletics. This position maintains confidentiality, determines priorities, exercises initiative and mature judgment as required by performing duties. The position is responsible for assisting in daily operational activities including but not limited to, assisting in program implementation, collecting, compiling and organizing data, cash handling, assisting in preparing final reports, travel documents, compliance/financial documents. This position is often the first point of communication for 15 intercollegiate athletic programs and must maintain awareness of all NCAA and GSC activities.
Intercollegiate Athletics
Non-Exempt
A high school diploma and four years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Experience utilizing Excel and Microsoft Word applications and ability to navigate the internet. Good verbal and written communications skills. Superior organizational and time management and ability to prioritize tasks and meet deadlines.
Four years experience in an office setting. Ability to work under pressure, make decisions, and use good judgment. Knowledge of NCAA, GSC, University and Athletic Department policies and procedures a plus.
70% - Effectively communicate with staff, patrons, vendors, and other University personnel as they visit or call Intercollegiate Athletics. Prepare and review purchasing and travel reports to ensure the required documentation is attached and that it complies with University policies. Scan, copy and upload documents as needed. Prepare direct pay requests, revenue refunds, cash transmittals, and other requests pertinent to business operations. Contact vendors to request statements, invoices, and make payments. Update financial reports by collecting data and entering into the appropriate departmental documents. - (Essential)
20% - Maintain inventory of office supplies and order for staff as needed. Deliver documents to University departments on campus. Assist with compiling necessary information for staff to complete reports. - (Essential)
