Athletics Sports Promotions by serving as the first point of contact at the front desk.

Responsibilities
• Greet and welcome guests
• Answer incoming calls and distribute in a timely and efficient manner
• Respond clearly and concisely to inquiries regarding VAF information, events, giving levels, member
benefits, and donor accounts; stay informed at all times of details of special events, athletic contests,
athletic parking, etc.
• Receive and sort daily mail/deliveries
• Responsible for the daily deposit to include checks and cash; scan check batches and send to gift
processor
• Responsible for sending daily credit card transactions to gift processor
• Update Paciolan accounts with biographical data updates from sources such as returned mail,
deceased lists, incoming donor gifts, University Advancement reports, and Paciolan reports
• Assist Annual Fund team in tracking and responding to donors with account holds to include
outstanding balances; level drop, and underpledged
• Monitor payment schedules for upcoming credit card expirations and contact donors with expiring or
declined cards
• Maintain PCI compliance on all credit card information and confidentiality of all donor information
• Assist donors with single-game ticket and parking requests and duplicate parking pass requests
• Responsible for weekly donor acknowledgements that are made in memory or in honor of someone
• Administer the Courtesy Car Dealer Program, which includes maintaining the car database, drivers, and
insurance, distributing decals, handling fines and fees, coordinating logistics of exchanged cars,
assisting with game-day program ads, provide yearly information to the Athletics Department for
individual tax purposes
• Respond to correspondence on the VAF email box
• Order office supplies and assure the storeroom is organized
• Maintain internal phone directory, emergency contacts, and staff roster lists
• Assist with the responsibilities of other administrative staff in their absence
• Other: Assist with other projects as assigned
Qualifications
• Excellent customer service skills; friendly and professional phone demeanor
• Strong verbal, written, organizational, and interpersonal skills with keen attention to detail
• Ability to interact with internal and external constituents across the organization
• Ability to multi-task and prioritize tasks
• Self-starting/self-management and initiative with the ability to work without direct supervision
• Commitment to maintaining confidentiality of sensitive information
• Flexible, punctual, and dependable
• Proficient in Microsoft Office Suite
