POSITION TITLE: Sports Information and Game Day Operations Coordinator
REPORTS TO: Director of Athletics
POSITION SUMMARY: The Sports Information and Game Day Operations Coordinator is responsible for developing and implementing high quality, collegiate sports information and game day operations programs in conformity with Eureka College Athletic Department policies and procedures as well as NCAA and conference policies, procedures, regulations and compliance.
Essential Functions:
● Create videos for use on the athletics website, blog, social media and to share with internal and external stakeholders.
● Maintain the Red Devils’ social media accounts including but not limited to: Facebook, Twitter, Instagram, and youtube.
● Coordinate internal and external media releases for athletic events, special events and highlights.
● Create website and print media content including but not limited to; student-athlete bios, team previews, special stories, media guides, game day promos, and other materials that help promote the student-athlete experience at Eureka College. Distribute print materials appropriately: game day guides and inserts.
● Provide statistical support for all sports, including conference and NCAA; and compile and disseminate statistical data accurately and promptly.
● Direct all game operations including set-ups, tear downs, and scheduling of officials. Serve as the primary contact for officials.
● Supervise, care for, and inventory scoreboard, sound systems, and game operations equipment.
● Hire, train, schedule, and supervise all student game-day operations workers.
● Schedule and oversee game day managers with guidance from the Director of Athletics and in keeping with game day processes and policies set forth by the Director of Athletics.
● Create and disseminate all game day communications and itineraries to Eureka coaches as well as visiting opponents.
● Update and perform daily maintenance of Athletic Department website ensuring the site stays dynamic through video production and other creative elements.
● Create content for and manage all athletic monitors within the Reagan Athletic building.
● Coordinate team, individual, action, and special event photo sessions; to include timely headshots of teams and coaches to ensure the athletics website is continuously updated.
● Coordinate media days and autograph signings for all athletic programs in each season.
● Maintain up-to-date rosters and game schedules of all athletic programs to distribute to internal and external stakeholders as necessary.
● Input all athletic-related event dates on the campus Master Calendar and regularly check to ensure that the calendar is up-to-date.
● Coordinate and promote special game day events and celebrations to include theme days, community events, Senior Day celebrations, etc. Ensure that events are communicated to appropriate campus partners and personnel.
● Prepares and submits athletic related nominations for conference, regional, and national awards on behalf of the Department of Athletics.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
● Participate in on-going professional development through national higher education organizations.
● Manage the athletic photo library.
● Aid Director of Athletics in special branding projects as assigned.
● Ensure athletic department adherence to all College branding requirements.
● Aid the Director of Athletics in the planning and promotion of annual events including Hall of Fame, the golf outing, and the Golden Tornadoes.
● Compile and maintain all athletics record books.
● Other duties as assigned by the Director of Athletics.
● Assist the College Office of Marketing and Strategic Communications with crisis communications as needed.
SUPERVISORY REQUIREMENTS: Supervision of Game Day and Sports Information Student workers.
EDUCATION:
Essential: Bachelor’s degree in Journalism, Public Relations, Communications or Sports Management.
Desirable: Graduate degree.
EXPERIENCE:
Essential: Three-five years of sports information and game operations experience at the college level. Supervisory experience. Experience with website maintenance, digital and print content creation, livestats, and strong background in managing accounts and creating content for a variety of social media platforms.
LICENSES/CERTIFICATIONS:
None required
KNOWLEDGE, SKILLS, ABILITIES:
● Knowledge of Microsoft Office applications and electronic mail.
● Knowledge of Adobe Creative Suite, specifically Photoshop and InDesign
● Knowledge of Stat Crew, Prestoand/or alternative scoring software
● Knowledge of communications and journalistic principles, methods and techniques.
● Ability to understand the larger picture in addition to being detail oriented.
● Ability to exercise independent judgment and make decisions independently that are in alignment with the vision and direction of the athletic department as well as Eureka College.
● Ability to communicate effectively in writing and verbally, both one-on-one and in public speaking settings.
● Ability to interact with ease among a variety of constituencies and a diverse population.
● Ability to multi-task, organize, prioritize, and respond quickly to a variety of tasks in an ever-changing and busy environment.
● Ability to exercise flexibility as schedules and department needs change frequently.
● Ability to collaborate with coaches and athletic staff.
● Understanding of the small private college landscape and potential opportunities.
● Ability to effectively train Game Day and Sports Information student workers particularly with regards to score table operations and live statistical capturing.
● Ability and experience to solely execute live in-game statistical capturing for all sports.
● Ability to positively contribute to a collaborative, team environment.
● A commitment to and knowledge of NCAA rules, regulations, and standards in regard to statistical gathering.
● Demonstrated ability to stay abreast of current and developing trends (social media, content creation, and sports promotions).
● Enthusiasm and the ability to thrive in an atmosphere of constant change.
WORKING CONDITIONS:
While performing the duties of this job, the employee occasionally is required to stand; walk; sit; use hands to finger, handle or feel objects; reach with hands and arms; balance; stoop, kneel, crouch or crawl; talk or hear. The employee will be required to lift and/or move up to 25 pounds at times. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The noise level in the work environment is usually quiet to moderate. While performing the duties of this job, the employee may be exposed to weather conditions prevalent at the time.
WORK SCHEDULE:
The traditional office workday is Monday through Friday 8:00AM to 5:00 PM with one hour allocated for lunch. Flexibility is needed as weekend and evening hours are frequently required throughout the year.
