| Position Summary |
The Sr Associate or Associate AD/Chief of Staff is responsible for providing the day-to-day operations of the Director of Athletics, which include oversight responsibilities for the athletics director’s routine commitments, public relations obligations, traditional correspondence, events/hospitality, and special projects.
Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 9,000 students and is located in Clarksville, Tennessee, a community of an estimated 166,000 people located approximately 40 miles northwest of Nashville, TN.

| Primary Duties and Responsibilities |
- Serve as a public liaison, maintain frequent contact with University officials and departmental employees, public officials, professionals, community leaders, and the general public.
- Review and analyze incoming emails, letters, and memos to determine their significance and plan for distribution.
- Correspond internally and externally on behalf of the AD.
- Assist with communication to the President’s Office.
- Serve as a member of Director of Athletics’ Cabinet/Executive Staff.
- Serve as a liaison between coaching staff and executive staff by communicating with Director of Athletics and members of the AD’s Cabinet.
- Manage the AD’s schedule including meetings, speaking engagements, athletic events, and special events.
- Prepare routine and recurring correspondence for the AD.
- Schedule meetings with various department heads, coaches, and/or teams throughout the year.
- Prepare Executive Staff and Athletics Cabinet agendas and minutes.
- Compile, analyzes and organizes internal or external research which contributes to the overall advancement of the department and university.
- Create the presentation of that research and is expected to organize in a manner that is easily identifiable for the group it was intended for.
- Coordinate travel arrangements including flights, car rentals and/or car service, and hotel reservations.
- Oversee the AD’s game day VIP activities for both football and basketball (home and away contests).
- Participate in the cultivation of major gifts donors and in AD’s suite for home football and basketball contest along with select Conference and NCAA Tournament games.
- Coordinate, plan, and organize events hosted by the Director of Athletics.
- Request, compile, and prepare information surrounding meetings and speaking engagements. This includes biographies, order of program, attire, attendee information, etc.
- Provide meeting support for the AD as needed. Use various software programs and internal database systems to enter, maintain, update, organize, analyze, and retrieve date for various program functions and reporting relevant information to the office.
- Assist other departments and offices to develop a healthy understanding of athletics administration.
- Coordinate staff events that contribute to positive staff morale. For example: Creating and identify professional development opportunities, office themed days and morale boosting events.
- Make recommendations to the Director of Athletics in needs of staff morale, concerns or potential challenges.
- Plan, coordinate and lead all biannual staff town hall meetings and orientations, monthly head coaches meetings, weekly executive staff meetings and annual executive staff retreats on behalf of the Director of Athletics.
- Sport Oversight
- Work with Deputy Director of Athletics/CRO on all revenue generation events.
- Responsible for reviewing and managing the athletics administration budget and AD Foe/Discretionary accounts

- Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, Power point etc.) and Ellucian Banner.
- Ability to communicate effectively and appropriately.
- Ability to maintain confidentiality of records and information.
- Ability to interact in an effective and appropriate manner with diverse populations, the University community and the public.
- Ability to maintain files accurately, in paper and in software programs.
- Ability to handle multiple tasks simultaneously.
- Ability to prepare and maintain accurate records and reports.
- Ability to work under pressure in meeting deadlines

| Physical Requirements |
- Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.

| Required Minimum Qualifications |
- Minimum of a Bachelor’s degree
- A minimum of two years experience in an administrative/support capacity.
- Prior project management experience preferred in collegiate athletics or a related field.
- Experience in Athletics Preferred
- A background check will be required for the successful applicant.
