Perform administrative tasks and functions pertaining to daily office operations of the Internal Deputy Athletic Director who oversees all athletic personnel/Payroll/contracts and Title IX education, investigations and trainings as well as administrative operations for an assigned sports team in the Athletic Department. Provide Compliance Office with required information and documentation relating to recruiting, athletic scholarships offered and accepted, and roster management of all sports and administrative areas assigned. Coordinate and maintain the day to day office operations for each assigned sport as well as the office of the Deputy Athletic Director/SWA and manage Head Coaches office request. Answer incoming phone calls and prepare written correspondence for assigned sports or administrative area to include individual coaches or administrators and recruiting and team correspondence, Human Resources, Equity and Compliance Office, President's office, Student Affairs, Provost, Development, University Marketing as well as perspective donor groups for each sport and alumni. Prepare requisitions for bids and purchases of equipment throughout the year. Maintain the Sports specific Athletic Development budget; maintain accurate records of each account (scholarship, operating, travel, and recruiting budgets) and meet with Head Coaches to discuss/review budget and spending to ensure coaches are aware of available funds. Work with the Deputy AD to prepare, process and review employment forms for athletic personnel. Prepare payment authorizations and obtain necessary paperwork for games, officials or other individuals working for each sports program throughout the academic year or individuals working in the summer camp programs. Draft employee contracts for full and part time coaches; obtain required signatures and submit to Human Resources. Coordinate logistics and schedule recruiting visits. Evening and weekend work associated with assigned teams or administrative areas will be required at specific events as assigned. Bachelor’s degree required.
Note: High School diploma or High School Equivalency (HSE) and five years of related experience may be considered.
One year of progressively responsible athletic administrative and or coaching experience, secretarial, clerical, and/or office experience required.
Prior experience in managing an athletic office or a business office preferred.
CAP/CPS preferred.
