Description
The Point University Flag Football Student Assistant/Office Manager provides administrative, operational, and team-support assistance to the Head Coach and coaching staff. This position plays an important role in helping the program remain organized, professional, efficient, and prepared throughout the academic year and competitive season.
The successful candidate must be dependable, organized, trustworthy, proactive, and capable of handling confidential information. This individual is expected to represent Point University Athletics and the Flag Football program with professionalism while supporting the program’s standards of accountability, discipline, service, and teamwork.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative and Office Support
Assist the Head Coach with daily administrative and office responsibilities.
Maintain organized digital and physical files for the flag football program.
Create and update spreadsheets, forms, calendars, contact lists, and team documents.
Maintain an organized recruiting database for prospective student-athletes.
Track recruits by name, graduation year, position, school, contact information, academic status, and recruiting progress.
Assist with preparing itineraries, schedules, meeting agendas, sign-in sheets, and program correspondence.
Help organize paperwork related to team travel, equipment, community service, fundraising, and student-athlete participation.
Monitor important dates, deadlines, appointments, meetings, and program events.
Assist with printing, copying, scanning, filing, and distributing documents.
Maintain the cleanliness and organization of the flag football office.
Handle confidential information with discretion and professionalism.
Team Operations
Assist coaches with daily team operations before, during, and after practices and games.
Help prepare the field, equipment, footballs, cones, flags, water stations, chairs, and other practice materials.
Ensure flags are removed from belts and properly stored after practices and games.
Empty, clean, organize, and store water bottles and team equipment.
Assist with collecting, sorting, washing, folding, and organizing team laundry.
Sort uniforms and apparel according to player, size, jersey number, or brand as directed.
Help maintain an accurate inventory of uniforms, footballs, flags, practice equipment, and team apparel.
Assist with locker-room organization and ensure team areas remain clean.
Help prepare equipment and materials for home games, away games, tournaments, recruiting events, and team functions.
Record practices, scrimmages, or games when requested.
Assist coaches with uploading, labeling, and organizing film.
Recruiting Support
Maintain and regularly update the program’s recruiting spreadsheet.
Assist with organizing prospective student-athlete information and recruiting communication.
Help prepare recruiting materials, graphics, mail-outs, visit itineraries, and campus-tour information.
Assist with welcoming recruits and their families during campus visits.
Help coordinate recruiting events, tryouts, prospect camps, and unofficial or official visits.
Maintain professional communication when interacting with recruits, families, coaches, and school personnel.
Never make scholarship, roster, playing-time, admission, or financial-aid promises to a prospective student-athlete.
Academic and Student-Athlete Support
Assist with tracking study-hall attendance and required academic hours.
Help organize academic progress information when directed by the coaching staff.
Assist with reminders regarding tutoring, class attendance, assignments, registration, and academic deadlines.
Maintain confidentiality regarding student-athlete academic records and personal information.
Report academic concerns directly to the Head Coach or appropriate staff member.
Fundraising and Community Service
Maintain accurate records of fundraising participation and money collected.
Help organize fundraising documents, sponsor information, donation records, and event materials.
Track student-athlete community-service hours and participation.
Prepare sign-in sheets and documentation for community-service projects.
Assist with organizing team service projects and fundraising events.
Handle all money, receipts, and financial documents according to university procedures.
Social Media and Creative Support
Assist with managing the program’s Instagram, TikTok, and other approved social-media platforms.
Help create professional graphics, photographs, videos, highlights, and team announcements.
Assist with posting schedules, game-day information, recruiting content, player recognition, community service, and program updates.
Obtain approval from the Head Coach before posting content on an official team account.
Protect the privacy and reputation of Point University, the athletic department, coaches, and student-athletes.
Never post confidential team information, injuries, disciplinary matters, recruiting information, or internal conversations.
Travel and Event Support
Assist with researching and organizing hotels, transportation, restaurants, and travel information.
Help prepare travel itineraries, rooming lists, meal lists, and equipment checklists.
Assist with loading and unloading team equipment.
Help confirm that all necessary uniforms, equipment, medical supplies, and documents are prepared for travel.
Attend team events, practices, games, meetings, and travel assignments when required.
Assist with curfew checks and team accountability during overnight travel when directed by the coaching staff.
Film and Playbook Support
Assist with organizing the team’s HUDL account and video library.
Upload and label game, practice, and opponent film accurately.
Help maintain digital and printed versions of the team playbook.
Protect all playbooks, signals, scouting reports, film, and strategic information.
Never distribute team film or playbook information without permission from the Head Coach.

The Student Assistant/Office Manager is expected to:
Arrive on time and prepared for all assigned responsibilities.
Complete tasks accurately and by the assigned deadline.
Communicate immediately when unable to attend or complete an assignment.
Demonstrate initiative instead of waiting to be reminded about routine responsibilities.
Maintain a professional attitude, appearance, and work ethic.
Treat coaches, student-athletes, administrators, officials, opponents, and guests with respect.
Follow all Point University, athletic department, conference, and program policies.
Maintain appropriate professional boundaries with student-athletes.
Avoid arguments or confrontations with team members.
Relay instructions from the coaching staff without changing or debating them.
Refer complaints, conflicts, disciplinary matters, and major concerns directly to the Head Coach.
Refrain from discussing confidential team matters.
Perform additional duties assigned by the Head Coach.
WORK SCHEDULE
The work schedule will be established by the Head Coach and may vary according to the academic calendar, recruiting schedule, practice schedule, competition schedule, team travel, and special events. Evening and weekend availability may be required.
Requirements
Must be a currently enrolled Point University student in good academic standing.
Must demonstrate strong organizational and time-management skills.
Must be dependable, responsible, and able to work independently.
Must possess effective written and verbal communication skills.
Must be comfortable using email, spreadsheets, shared documents, calendars, and basic office technology.
Must be willing to learn athletic operations, recruiting procedures, equipment management, and team administration.
Must be available for some evenings, weekends, practices, games, and special events.
Must comply with all university employment and student-conduct requirements.
PREFERRED QUALIFICATIONS
Previous experience in athletics, office administration, team management, social media, graphic design, photography, videography.
Familiarity with Microsoft Office, Google Workspace, Canva, HUDL, or similar platforms.
Knowledge of football or flag football terminology.
Strong attention to detail and the ability to manage multiple responsibilities.
Interest in pursuing a career in coaching, sports management, athletic administration, or communications.
PHYSICAL REQUIREMENTS
The position may require the employee to:
Stand or walk for extended periods.
Work indoors and outdoors in various weather conditions.
Lift, carry, move, and organize equipment weighing up to 40 pounds.
Bend, reach, kneel, and perform other movements necessary for equipment and field setup.
Travel with the team when assigned.
