Job Description Summary
The Ticket Operations Coordinator is responsible for revenue generation and customer service through ticket sales for five ticketed sports, the Penn Relays, and ticketed external events. Areas of responsibility include season tickets, mini-plans, single game tickets, group sales, and hospitality packages. This position also coordinates fiscal activities for the Ticket Office per University policy, including but not limited to event reconciliation, preparing financial reports, daily settlements, payroll, purchase orders, and inventory.
Performs prospecting and consultative selling via outbound phone calls from office and on/off-site meetings. Works with Development & Alumni Relations, Marketing, Sponsorship, and Business Development teams to identify new business and work collaboratively through comprehensive marketing and fan engagement plan. Oversees box office operations on game days. Working events is required.
Receives direct administrative supervision and guidance from the Ticket Manager.
Job Description
Job Responsibilities
Coordinate the fiscal activities for the Ticket Office, including event reconciliation, financial reports, daily settlements, payroll, purchase orders, and invoices. Understand University financials systems, policies and procedures and develop best practices and policies for ticket office finances. Update current office operations to help streamline training of staff and special projects as needed.
Support ticket office operations and provide excellent customer support by responding to inquiries, answering telephones, and utilizing ticketing systems to process sales, reprint tickets, and facility day-to-day needs. This position will be a key contact for the Ticket Office and will ensure compliance with operating procedures.
Assist with revenue generation for five ticketed sports, the Penn Relays and special events (single game tickets, season tickets, mini-plans, group sales, and hospitality packages). Engage with the Penn Community and external partners to develop new event opportunities and offerings to increase revenue during athletic home events.
Learn and maintain knowledge of Penn Ticket Office policies (ticket offerings, seating charts, etc.). Develop best practices and create training and support materials to effectively communicate with customers and assist with inquiries.
Oversee the set up and management of the box office, will call, fan services locations, gate entry points, etc. on game and event day.
Supplement Marketing staff with game operations duties as needed and available. Perform videoboard operations and manage public address scripts.
Qualifications
A high school diploma/GED and 5 to 7 years of experience or equivalent combination of education and experience is required.
Bachelor’s degree and 0 to 1 year of experience preferred.
Experience with Paciolan Ticketing and SalesForce CRM software preferred.
Experience working with outbound sales or within a Ticket or Fiscal Operations office preferred.
Excellent interpersonal skills required and ability to prioritize and execute multiple tasks with an attention to detail in a time sensitive, pressurized environment.
Ability to work evenings, weekends, holidays, and travel for away contests or events as required.
Valid driver’s license required.
