Description

The Ticket Operations Coordinator oversees ticketing operations for Softball and Track & Field while supporting overall athletic ticket office functions. This role manages daily box office and call center activities, ensures excellent customer service, prepares and reconciles daily financial reports with the Business Office, and maintains proficiency in the Paciolan ticketing system. The position assists in the hiring, training, scheduling, and supervising student and part-time game day staff, managing the KU Tickets email account, and assisting with operations and staff supervision at assigned athletic events.

Duties and Responsibilities of this Position:

1. Lead, manage and oversee all ticket responsibilities related to Softball and Track & Field;

 

1. Preparation of daily batch reconciliation reports to be sent to Business Office. Audit and balance each employee’s daily totals into Business Office approved deposits;

 

1. Oversee and assist in customer service and problem solving at all ticket windows for patron service and decisions involved for the day-to-day management of the box office and call center;

 

1. Assists with the hiring, scheduling, and training of part-time workers on all ticket related functions on both Paciolan and Pac 7;

 

1. Work all athletic events as assigned and assist in the supervision of game day workers as scheduled;

 

1. Responsible for operation and response for the KU Tickets e-mail account;

 

1. Answer telephones in a courteous, professional and prompt manner while providing any necessary follow-up to ensure that the caller is competently assisted. Return any calls, e-mails, and messages within a 48-hour period;

 

1. Maintain competence in the use of all functions of the Paciolan ticketing system;

 

1. Assist in the supervision of all Kansas Athletics ticketed events as scheduled.

 

 

Work Environment

This job operates in both a professional office environment and outside at Kansas Athletics related events, including inclement weather. This role routinely uses standard office equipment such as laptop computers and various digital devices, including, but not limited to: cell phone, printer, copy machine, and other related devices. This job requires flexibility and adaptability in schedule and the ability to perform job related duties on short notice.

While performing the duties of this job, the employee is regularly required to speak and hear. Specific vision abilities required by this job include close vision and ability to adjust focus. This position may require frequent bending, moving, lifting, and carrying material weighing up to 25 pounds; standing up to eight hours each day; and working in all weather conditions.

 

 

Travel

Moderate travel is expected for this position, for assigned sports and any other post-season competitions including, but not limited to, Big 12 tournament and NCAA tournament games;

 

Hours of Work

This is a full-time position. Days and hours of work will vary based on the needs of the sports programs and as job duties demand.  Early morning, evening and weekend work is sometimes required.

Qualifications

Required Qualifications:

• Bachelor’s Degree from an accredited college or university;
• A minimum of two (2) years of ticket office experience;
• Demonstrated working knowledge of the Paciolan Ticketing System;
• Demonstrated strong communication skills and experience in working with the public;
• Basic office equipment and computer skills;
• Must work during regular business office hours and required to work athletic events as assigned by the leader of Ticket Operations;
• Demonstrated problem-solving skills and solutions focused approach to challenges and improvements;
• Travel with Athletic teams as directed by the Assistant AD - Ticket Operations;
• Ability to work an irregular schedule including evenings, weekends, and holidays as needed.

 

Preferred Qualifications:

• General knowledge of all Big 12 and NCAA guidelines related to ticket operations.
