POSITION: Administrative Assistant - (PT – Temporary)
Effective immediately: (PT-Temporary) Administrative Assistant supporting the Athletics Department - Wilmington University, New Castle.
Requirements: High school diploma or equivalent is required. This individual must be highly motivated, possess excellent interpersonal communication, customer service, and organizational skills, and be able to lead and develop relationships with key stakeholders. Must be detail-oriented and able to work with diverse populations. Exceptional customer service skills and knowledge of basic service etiquette. Must be computer literate and proficient in Microsoft Office products, including Word, Excel, and PowerPoint. Must have the ability to work independently as well as in a team environment. Must demonstrate respect for diversity in the workplace and a commitment to creating an inclusive and supportive work environment that values the contributions of all employees. The incumbent must maintain professionalism and confidentiality in any situation.
Responsibilities include (but are not limited to):
• Allocate and process all Athletics, Student Life, Student Affairs, Student Concerns, and Athletic Training purchasing cards to the correct budget line on the Visa Management Program.
• Review and code all invoices, ensuring appropriate documentation is attached, university policies and procedures are adhered to, and approval is received.
• Utilize computerized software (Excel, word) to perform and maintain budget ledgers.
• Copy and file all completed invoices, check requests, monthly P-card statements, and any paperwork relating to budget transactions.
• Promote and foster an inclusive and diverse environment for all students, faculty, and staff.
• Perform other duties as assigned by the Student Affairs Manager.
Hours of Employment: Generally; Monday - Friday, 9:00 a.m. – 5:00 p.m. or as needed. The incumbent must be flexible with their hours to meet the needs of the department and the University.
