Position Introduction

The Administrative Assistant – Athletics will provide complex secretarial services and administrative assistance to members of the Athletic and Recreation staff.

Job Description

The Administrative Assistant – Athletics willperform clerical tasks such as typing purchase order requisitions, check requests, memos, letters, surveys and reports; filing; handling faxes; inventorying items received; arranging for printing; making appointments; screening calls and handling visitors. This position will open, sort and distribute mail, automatically responding to requests and/or other matters as authorized by the supervisor.

The Administrative Assistant – Athletics will answer inquiries or complaints from faculty, staff and students about policies and procedures for the athletic facility, establish. Maintain and update office, departmental or students’ files, including confidential files, and obtain and provide factual information requiring an in-depth knowledge of all of the policies and procedures of the department such as responding to requests for varsity schedules, win/loss records, information on coaches, team rosters, etc.

The Administrative Assistant – Athletics will monitordepartmental budgets, depositsand/or maintains records for department and varsity fundraising accounts as well as Belles Varsity Club, Club Sports and Intramural accounts, and carries out administrative duties associated with the programs within the department such as sports camp and the varsity sports program.

Minimum Qualifications

• Graduation from high school or an equivalent combination of education and experience.
• The ability to accurately type at a rate of 60 wpm and have familiarity with personal computers and word processing and/or spreadsheet programs.
• Computer experience with graphic’s and database programs.
• Experience working with budgets.
• Experience with detail-oriented work.
• The demonstrated ability to independently maintain programs or administer on-going projects.

Preferred Qualifications

• The ability to maintain positive interpersonal relationships with students, faculty, staff and the public.
• One year of experience which provides knowledge of the policies and procedures of Saint Mary’s College.
• The ability to project a positive public image.
• The ability to communicate effectively.

Schedule

40 Hours/ 12 Months/ Monday – Friday
